Job description

The position is for Unipeq Sdn. Bhd., a wholly-owned subsidiary of UKM Holdings Sdn. Bhd.

Responsibilities
  1. Event Management
    1. Lead the end-to-end planning and execution of events, including conferences, workshops, launches, and networking sessions.
    2. Develop event concepts and schedules in collaboration with internal and external stakeholders.
    3. Oversee event logistics, including venues, vendors, staffing, equipment, and supplies.
    4. Ensure adherence to branding, health and safety, and risk management standards.
    5. Lead the post-event evaluation process and report on outcomes and lessons learned.
    6. Coordinate logistics for events (venue, vendors, catering, materials, etc.).
    7. Manage event registration, invitations, and participant follow-up.
    8. Prepare event documents, kits, and signage.
    9. Liaise with service providers and ensure timely delivery of services.
    10. Provide on-site support and troubleshooting during events.
  2. Program Management
    1. Coordinate multiple events and activities under a unified program strategy.
    2. Develop and update program work plans and timelines.
    3. Ensure integration across different initiatives and consistency in quality and messaging.
    4. Monitor budget utilization, resources, and timelines across the program.
    5. Assist in preparing and updating program work plans and schedules.
    6. Support communication with partners, participants, and stakeholders.
    7. Maintain databases, mailing lists, and documentation.
  3. Project Management
    1. Develop and implement project management frameworks (e.g., Gantt charts, risk registers, reporting templates).
    2. Track milestones, deliverables, and performance indicators.
    3. Manage stakeholder engagement and reporting.
    4. Ensure compliance with donor, partner, or organizational requirements.
    5. Track progress of project activities against timelines and deliverables.
    6. Prepare meeting notes, activity reports, and budget summaries.
    7. Coordinate procurement of goods and services in line with organizational policies.
    8. Contribute to risk tracking, issue logs, and evaluation processes.
