A leading convenience store brand in Malaysia seeks a Project Coordinator to ensure effective project execution and documentation. The role requires strong organizational skills, proficiency in Microsoft Office, and 2-3 years of project management experience. Coordinate tasks and activities among team members to ensure efficient project execution.
Schedule and organize project meetings, ensuring relevant stakeholders are engaged.
2. Documentation
Maintain accurate and up-to-date project documentation, including project plans, progress reports, and meeting minutes.
Create and manage project files, ensuring accessibility for team members.
3. Record Keeping
Maintain accurate and organized records of maintenance requests, activities, and associated documentation.
Establish a systematic filing system for easy retrieval of information.
4. Coordination with Maintenance Teams
Liaise with maintenance teams to gather information on the nature of maintenance requests and planned activities.
Facilitate communication between maintenance teams and store personnel.
5. Business License, Utilities & Fire Extinguisher Application
Prepare documentation for business license / TNB / Syabas / fire extinguisher applications and their submission.
Monitor & keep track of all types of renewals to avoid expiry issues.
6. Reporting
Generate regular reports on the status of maintenance activities, pending requests, and work permit applications.
Identify and communicate any challenges or issues affecting the maintenance process.
7. Other tasks
Perform other tasks as assigned by the superior from time to time.
Qualifications and Skills -
At least Diploma / Bachelor's degree or equivalent working experience or qualification i.
Previous experience in a project support or administrative role is preferred.
2-3 years of experience in a project coordination or administrative role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
Excellent organizational, multitasking, and time-management skills
A detail-oriented approach and the ability to work well in a team environment
