Job summary

Novugen Pharma (Malaysia) Sdn. Bhd. is seeking a Project Coordinator to oversee day‑to‑day activities across construction, facility modifications, and equipment installation at our Bandar Enstek facilities in Negeri Sembilan.

The role ensures compliance with GMP standards and regulatory requirements while coordinating cross‑functional teams, vendors, and contractors. You will support planning, scheduling, progress tracking, and documentation, driving lean improvements and ensuring timely

Qualifications

• Minimum 3 years of relevant experience in project coordination or related fields.
• Hands-on experience coordinating construction, facility modification, equipment installation, or infrastructure projects.
• Familiar with GMP/regulatory manufacturing environments and proper project documentation.

Responsibilities

About the role

1. Project Coordination

Coordinate day‑to‑day project activities to ensure projects are executed according to approved scope, schedule, budget, quality, and safety requirements.

Assist in project planning, scheduling, resource coordination, and progress monitoring activities.

Track project milestones, deliverables, and action items and follow up with relevant stakeholders to ensure timely completion.

Prepare and maintain project reports, progress updates, meeting minutes, and project records.

Coordinate construction activities involving cleanroom facilities, warehouse developments, production area modifications, utility upgrades, infrastructure improvements, and other facility‑related projects.

Coordinate machine installation activities including equipment delivery, unloading, rigging, positioning, utility connection, installation, commissioning, and handover.

Support execution of cleanroom construction activities such as partition works, ceiling installation, flooring installation, HVAC implementation, clean utility connections, and facility upgrades where applicable.

Monitor site progress and contractor activities to ensure compliance with approved drawings, specifications, GMP requirements, and project schedules.

Participate in site inspections, project walkdowns, punch listing activities, and verification of completed works.

3. Regulatory Compliance:

Ensure all projects comply with pharmaceutical industry regulations (e.g., GMP, FDA, EMA).

Maintain documentation and quality assurance records for regulatory audits.

4. Stakeholder Collaboration:

Coordinate with cross‑functional teams, including production, quality, procurement, and external contractors.

Communicate project progress and challenges to stakeholders and senior management.

Identify potential risks and develop mitigation strategies.

Address projects promptly to minimize disruptions.

6. Vendor and Contractor Management:

Coordinate with vendors and contractors during project execution

Review technical proposals, quotations, drawings, and specifications.

Monitor contractor activities to ensure compliance with safety, quality, and project requirements.

Track vendor deliverables and overall project performance.

Identify opportunities for process optimization and operational efficiency improvements.

Participate in Lean, Kaizen, and continuous improvement initiatives.

Recommend improvements to project management processes and technical documentation practices.

About you

Bachelor’s Degree or Diploma in Engineering, Construction, Facilities Management, or a related technical discipline.

Minimum 3 years of relevant experience in project coordination, engineering projects, construction, facilities, or manufacturing environments.

Hands‑on experience coordinating construction, facility modification, equipment installation, utility upgrades, or infrastructure projects.

Familiar with cleanroom facilities, production areas, warehouses, HVAC, utilities, or pharmaceutical manufacturing environments would be an added advantage.

Experience coordinating machine installation activities, including equipment delivery, unloading, rigging, positioning, utility connection, commissioning, and handover.

Able to review and coordinate technical drawings, specifications, quotations, and vendor proposals, and follow up on technical deliverables.

Experience coordinating contractors and vendors on‑site, including monitoring work progress, quality, safety, and compliance with project requirements.

Familiar with GMP requirements and regulated manufacturing environments, with an understanding of the importance of proper project documentation and records.

Strong coordination and follow‑up skills, with the ability to track project schedules, milestones, action items, punch lists, and outstanding works.

Good communication and interpersonal skills, with the ability to coordinate effectively with Engineering, Production, QA, Procurement, vendors, and contractors.

Proactive and hands‑on approach to resolving site issues, managing project risks, and ensuring timely completion of project activities.

Experience in Lean, Kaizen, or continuous improvement initiatives would be an added advantage.
