A leading company in Malaysia is seeking a Project Administrator to support project delivery through administrative coordination, documentation management, and compliance tracking. The ideal candidate will have 1–3 years of experience, strong organizational skills, and proficiency in Microsoft Office tools. This role is crucial for facilitating smooth communication between teams and ensuring projects are executed on time and within quality standards.
Collect, prepare, and organize all project-related documentation including contracts, drawings, permits, approvals, and correspondence.
Assist in the preparation, compilation, and submission of project progress reports to internal teams.
Manage the process of permit applications, renewals, and compliance documentation in coordination with relevant authorities.
Maintain an up-to-date and systematic filing system for all project documents, both physical and electronic.
Coordinate with project managers and engineers to gather data for reports, schedules, and presentations.
Follow up on outstanding documents and approvals to avoid project delays.
Support procurement and contract administration by preparing documentation and tracking submissions.
Schedule and coordinate project meetings, prepare agendas, record minutes, and distribute action items.
Assist in invoice processing and budget tracking by maintaining accurate records and supporting documentation.
Ensure all project documentation adheres to company policies, quality standards, and client contractual requirements.
Facilitate smooth communication between internal teams, subcontractors, clients, and regulatory bodies.
Perform any other administrative duties as assigned to support project delivery.
REQUIREMENTS:
1–3 years of experience in project coordination, administration, or a support role in a project-based environment.
Industry-specific experience (optional, based on the role – e.g., IT, construction, marketing).
Proficiency in Microsoft Office Suite (especially Excel, Word, Outlook, PowerPoint).
Basic knowledge of budgeting and cost tracking tools is a plus.
Strong organizational and time management skills.
Attention to detail and a high level of accuracy.
Ability to handle multiple tasks and meet tight deadlines.
Strong problem-solving and critical-thinking skills.
Team player with the ability to work independently when required.
