  • Set up and maintain project files following company SOPs and instructions.
  • Prepare and follow up on letters, reports, and other documents.
  • Organize project meetings – including notices, minutes, and follow-up actions.
  • Distribute project documents to relevant departments and team members.
  • Assist Directors, Head of Projects, and Project Team with document tasks (scanning, copying, distribution).
  • Receive and issue certified drawings, and upload them to the company server.
  • Help compile manuals and data books for projects.
  • Support the cleanliness and organization of the project office.
  • Assist with tender submissions and administrative documentation.
  • Ensure good attitude, discipline, and willingness to learn.
  • Control and manage project documents and keep records in the project server.
  • Support engineers in sending out bid invitations, RFIs, construction drawings, and handling inquiries.
  • Help prepare project budgets and summaries.
  • Track and update project staff attendance.
  • Monitor and update project schedules, claims, and progress reports.
  • Safely keep original Letters of Award (LOA).
  • Manage and track project tools, PPE, and equipment.
  • Collect and submit staff OT claims to HR by the 7th of each month.
  • Prepare and submit monthly reports to management.
  • Process material purchase requests.
  • Monitor and update project insurance (workmen’s compensation).
  • Take responsibility and accountability for tasks assigned.
  • Perform other duties as assigned by management.
