Job Description

We are seeking a proactive and detail-oriented Project Admin / Document Controller to join our growing team. You will play a key role in supporting project execution and ensuring smooth coordination across departments. If you’re organized, deadline-driven, and a great communicator, we’d love to hear from you!

Responsibilities (but not limited to):

Monitor and maintain project delivery schedules and checklists

Review construction plans and prepare quantity take-offs and material requirements

Prepare and issue Delivery Orders (D/Os); ensure alignment with Purchase Orders (POs) and quotations in terms of items and pricing

Track stock levels and coordinate with the warehouse for both local and outstation deliveries

Monitor material usage and coordinate timely procurement to ensure availability

Analyze maintenance and material costs, as well as contracts, to ensure cost efficiency and value for money

Communicate effectively with clients, sales teams, and project teams

Prepare reports, cost analyses, contracts, budgets, risk assessments, and other relevant documentation

Document design changes and update budgets and project records accordingly

Support project documentation and ensure timely updates

Acquire product knowledge through on-the-job training

Requirements

Diploma or Bachelor’s Degree in any field, preferably in Quantity Surveying, Drafting, or Architecture

Minimum 1 year of experience in construction or project administration/document control.

Fresh graduates are encouraged to apply

Familiarity with AutoCount software is a plus

Able to multi-task, work under pressure, and perform independently

Possess basic knowledge of construction drawings

High attention to detail and strong organizational skills

Excellent problem-solving ability and communication skills
