Job Summary
The Production Controller oversees and coordinates all production activities to ensure efficient operations, compliance with quality and cleanroom standards, and timely delivery. This role manages production planning, scheduling, manpower allocation, and quality oversight, while driving continuous improvement and corrective action processes. The Controller ensures all activities meet ISO 9001:2015 QMS and cleanroom protocol requirements.
Job Description
A) Production Planning & Scheduling
- Prepare and control daily and weekly washing, sewing, and repacking schedules, including adjustments for new customers, public holidays, and urgent customer requests.
- Plan wash loads to maximize machine utilization, minimize changeover time, and ensure product segregation compliance.
- Coordinate sewing schedules (GPC) by ensuring timely availability of all required resources including materials and manpower.
- Manage repacking order schedules to meet sterilisation and delivery deadlines.
- Adjust production schedules in response to equipment downtime, manpower changes, or urgent requests, communicating updates to relevant stakeholders promptly.
B) Manpower & Shift Coordination
- Prepare and manage monthly duty rosters for operators, clerks, and support staff, balancing workload and skills across shifts.
- Monitor and identify manpower shortages or skill gaps at the operational level; coordinate temporary coverage or shift adjustments with Production Manager.
- Report ongoing manpower shortages and resource needs to the Production Manager for further action and formal recruitment coordination.
- Monitor attendance, punctuality, and shift adherence, addressing issues promptly to maintain production continuity.
C) Production Operations Oversight
- Lead daily production checks and inspections with supervisors and team leads to ensure processes such as soil sorting, washing, drying, folding, and final packing comply with SOPs.
- Conduct daily stand-up meetings with supervisors and team leads to review production status, discuss challenges, and align on priorities and resource allocation.
- Monitor washing and drying schedules to ensure machines start on time with minimal downtime, and production flows efficiently without unnecessary delays.
- Review production reports and records for accuracy and completeness, using these to identify bottlenecks or inefficiencies.
- Ensure supervisors are managing packing operations effectively and that quality and procedural standards are maintained.
D) Quality, Compliance & Corrective Action (CAR) Management
- Ensure full compliance with ISO 9001:2015 QMS, cleanroom, and safety standards throughout production processes.
- Lead monthly walkabouts to assess production areas, identify required corrective actions, coordinate with relevant departments, and sign off on reports.
- Manage customer feedback and complaints professionally, ensuring timely resolution.
- Lead operational-level investigations into process deviations, customer complaints, and quality failures.
- Coordinate with supervisors, QA, and production teams to gather data and analyze root causes.
- Prepare Corrective Action Report (CAR) reports, follow up on implementation, and verify effectiveness for routine or localized issues.
- Escalate complex, systemic, or high-impact quality failures and customer complaints to the Production Manager for further investigation and resolution.
- Maintain records of all investigations and CAPA activities to ensure audit readiness.
E) Continuous Improvement & Reporting
- Monitor production KPIs such as output per manhour, rejection rates, machine utilization rate and others.
- Identify opportunities for process optimization and automation; lead or support improvement projects.
- Provide on-the-job training and guidance to Production Executives, Clerks, and Operators on SOP compliance.
F) Training & Staff Development
- Conduct onboarding and refresher training for new and existing staff on production processes.
- Provide on-the-job training and guidance to Production Assistants, Supervisors, Line Leaders and Operators.
- Identify skill gaps within the production team, highlight training needs, and plan refresher training or escalate needs of external training programs to support skill development.
G) Safety & Housekeeping
- Oversee and ensure Production Clerks perform daily coordination tasks with other relevant stakeholders effectively.
- Ensure supervisors provide backup coverage for clerical operational duties when Production Clerks are unavailable.
- Participate in On-the-Job Training (OJT) and support team activities or laundry operations when required to maintain operational flexibility.
- Report any issues or interdepartmental coordination needs promptly to the Production Manager to facilitate timely resolution
- Adhere to company policies, including confidentiality and data security guidelines.
- Perform other duties as assigned by the Production Manager or senior management.
Skills & Qualifications
- Diploma or Degree in Manufacturing, Industrial Engineering, or related field, or equivalent experience.
- Strong skills in production planning, scheduling, manpower management, and workflow coordination.
- Solid knowledge of ISO 9001:2015 QMS and cleanroom protocols.
- Proficient in Microsoft Office, ERP systems, and production tracking software.
- Excellent communication, leadership, problem-solving, and organizational skills.
- Strong attention to detail and ability to manage multiple priorities effectively.
