Purpose of Role

  • We are seeking a dedicated and experienced Procurement Operations Manager to oversee our procurement end-to-end processes and streamline our contract lifecycle management.
  • The ideal candidate will be responsible for enhancing procurement operational efficiency, ensuring seamless collaboration with key stakeholders, managing vendor relationships, and optimizing vendor onboarding and offboarding processes.

Key Responsibilities:

  • End-to-End Procurement Management
    • Oversee the complete procurement lifecycle, from requisition to purchase order issuance and payment.
    • Ensure compliance with organizational policies, regulations, and best practices throughout the procurement process.
  • Contract Lifecycle Management:
    • Manage the contract lifecycle from initiation through execution, renewal, and termination.
    • Facilitate contract negotiations and ensure clarity in deliverables and terms, mitigating risks through effective contract terms.
  • Process Improvement:
    • Identify opportunities to enhance procurement processes and reduce cycle times.
    • Collaborate with key stakeholders (e.g., Third Party Contract Review (TPCR), Third Party Risk Management (TPRM)) to align objectives and improve cross-functional processes.
  • Saving Reporting:
    • Track and report on cost savings achieved through procurement initiatives and strategic sourcing.
    • Develop and implement key performance indicators (KPIs) to measure and communicate procurement effectiveness and savings impact.
  • Vendor Management:
    • Develop and maintain strategic relationships with key vendors to ensure optimum performance and value.
    • Monitor vendor performance metrics, conduct evaluations, and facilitate improvements as necessary.
  • Vendor Onboarding and Offboarding:
    • Manage the vendor onboarding process to ensure compliance with organizational requirements and due diligence.
    • Oversee the offboarding process for vendors, ensuring all contractual obligations are met and documenting lessons learned.
  • Approved Vendor List Management:
    • Maintain and regularly update the approved vendor list, ensuring it accurately reflects the organization’s needs and compliance standards.
    • Evaluate potential vendors for inclusion on the approved vendor list, conducting risk assessments and reference checks as appropriate.
  • Stakeholder Collaboration:
    • Partner with internal teams and stakeholders to understand procurement needs and deliver solutions that meet business objectives.
    • Communicate effectively with stakeholders regarding procurement strategies, processes, and updates.
  • Data Analysis and Reporting:
    • Analyse procurement data to inform decision-making, track performance trends, and report on procurement metrics.
    • Prepare and present reports to senior management on procurement activities, performance, and strategies for improvement.
  • Training and Development:
    • Lead training initiatives for procurement staff and stakeholders to promote best practices and compliance standards.
    • Mentor and develop team members, fostering a culture of continuous improvement and professional growth.
  • Qualifications
    • Bachelor’s degree in Business Administration, Supply Chain Management, or a related field; Master’s degree or relevant certification (e.g., CPM, CPP) preferred.
    • Minimum of 4-5 years of experience in procurement sourcing operations, contract management, or supply chain.
    • Strong knowledge of procurement processes, contract law, vendor management practices, and savings reporting.
    • Proficient in procurement software and tools, Coupa knowledge is significant desired
    • Certified Six Sigma Green Belt (CSSGB) / Black Belt (CSSBB) is desired
    • Exceptional analytical skills and ability to utilize data to drive decision-making.
    • Excellent communication, negotiation, and interpersonal skills.
    • Strong organizational skills and ability to manage multiple projects simultaneously.
