Job Summary

We are seeking a Procurement Officer - Support Services to support the Global Procurement Services (GPS) team. This role involves managing vessel and corporate procurement and invoicing processes end-to-end, ensuring subscriptions and purchases are correctly linked to purchase orders, accurately coded, and matched to invoices and financial periods. Responsibilities include processing invoices via Eyeshare, maintaining vendor and bank details, and liaising with internal departments and suppliers to resolve discrepancies and queries, all while adhering to financial procedures.

Position: Procurement Officer - Support Services

Location: Menara 1 Sentral - Kuala Lumpur

Report to: Procurement Manager - Support Services

Responsibilities:

  1. Manage vessel subscriptions:
  • Ensure subscriptions are linked to purchase orders.
  • Create and account code purchase orders correctly.
  • Match invoices to purchase orders and financial periods.
  • Identify and follow up on missing invoices.
  • Raise purchase orders for exceptional costs with vessel manager approval.
  1. Manage Corporate Procurement spend:
  • Raise purchase orders following procedures and collaborate with stakeholders.
  • Record goods receipt transactions.
  • Match invoices to purchase orders.
  • Report non-conformances.
  1. Manage vessel and corporate invoices:
  • Scan and register incoming invoices in Eyeshare promptly.
  • Ensure invoices are registered with correct details and vendor information.
  • Verify bank details before registration.
  • Liaise with management centers, procurement officers, treasury, accounts, and vendors regarding invoices and payment queries.
  • Perform other duties as assigned.

Requirements and Skills:

  • Diploma/Degree in commerce, business administration, accounting, or finance.
  • Fresh graduates are welcome.
  • Proficient in English.
  • Strong organizational and analytical skills.
  • Experience in invoice registration in an SSC environment is a plus.
  • Solution-oriented mindset.
  • Excellent interpersonal skills and cultural awareness.
  • Flexible, innovative, and able to work under pressure.
  • Proactive with a strong sense of ownership.
