Job Purpose:

The primary purpose of this role is to ensure seamless coordination and management of procurement, logistics, data management, and customer order fulfillment processes. The role focuses on maintaining accurate and efficient ERP system data, managing supplier relationships, optimizing inventory levels, coordinating shipments, and delivering timely and comprehensive reporting. Additionally, this role is crucial in supporting the purchasing initiatives, resolving supplier issues, and ensuring customer satisfaction through effective order management and timely deliveries. The successful candidate will play a vital part in optimizing the supply chain operations and contributing to the overall efficiency and effectiveness of the organization.

Dutiesandresponsibilities:

1. Data Management

  • Set up and maintain material, supplier, and planning system data in the ERP system.
  • Review and plan all new sales order demands through email, file data & ERP system.
  • Utilize procurement software to track inventory, generate reports, and analyse data.

2. Purchasing and Supplier Coordination

  • Develop and communicate purchasing agreements.
  • Participate in purchasing initiatives, issue purchase orders (POs) on time, and follow up for delivery and payment arrangements.
  • Place orders with approved suppliers from properly executed requisitions and expedite critical materials as necessary.
  • Work with suppliers to resolve quality, delivery, and pricing issues.
  • Develop and maintain strong relationships with suppliers, ensuring timely delivery of materials.

3. Logistics and Shipment Management

  • Coordinate logistics arrangements with courier services or forwarding agents for shipment importation, aiming to minimize costs.
  • Handle customs clearance processing, including import permit applications and declarations.
  • Coordinate with external shippers on import and export matters, and with the internal warehouse team on container arrivals, unloading schedules, and warehouse space utilization.
  • Coordinate with suppliers to ensure timely and accurate delivery of goods and services.

4. Reporting and Analysis

  • Develop purchasing reports for vendor analysis, purchase volumes, on-time delivery (OTD), and other key metrics.
  • Monitor stock balances for raw materials and update the stock report daily.
  • Update the delivery summary report by the end of each day.

5. Customer and Order Management

  • Accurately enter order details, such as delivery dates and addresses, on purchase orders.
  • Collaborate with cross-functional teams to determine customer order requirements.
  • Manage customer lead times, ensuring orders are scheduled and delivered on time.

6. Additional Responsibilities

  • Perform other ad hoc duties as assigned,

  • Possess at least a Diploma/Degree in Supply Chain Management, Logistics, Business Administration, or related field
  • 1-2 years of working experience in any related industry or fresh graduates are welcome to apply
  • Strong analytical skills with willingness to learn data analysis and reporting
  • Effective communication and interpersonal skills
  • Strong problem-solving abilities and proactive learning approach
  • Ability to work collaboratively with cross-functional teams
