A prominent company in Kota Kinabalu is seeking a Procurement Assistant to support procurement operations in a construction environment. The role involves managing purchase orders, liaising with suppliers, and ensuring compliance with company policies. Ideal candidates should possess good communication skills in English, Mandarin, and Malay, with a minimum of 1-2 years experience in procurement or supply chain roles.
Qualifications:
Technical Knowledge:
Basic knowledge of procurement procedures and inventory management.
Familiarity with purchase orders, invoices, and supplier management.
Competency in MS Office (Word, Excel, Outlook).
Communication Skills:
Good written and verbal communication in English, Mandarin and Malay. We are seeking candidates proficient in Mandarin to effectively communicate with Mandarin-speaking clients.
1-2 years in procurement, purchasing, or supply chain roles (preferably in construction, engineering, manufacturing, or similar industries).
Fresh graduates with internship experience in procurement may be considered for junior positions.
On-Site Experience (Preferred):
Exposure to site operations or procurement in a construction or industrial environment.
Experience coordinating deliveries and liaising with suppliers and site teams.
Assist in sourcing suppliers for materials, tools, and equipment required on-site.
Request and collect quotations from suppliers.
Prepare purchase requisitions and purchase orders (POs).
Follow up with suppliers to ensure timely delivery of goods to site.
Liaise with vendors, suppliers, and subcontractors regarding pricing, availability, and delivery schedules.
Coordinate delivery logistics to the project/site location.
Assist in vendor registration and maintain up-to-date supplier records.
Maintain proper filing systems for procurement documents (POs, invoices, delivery orders, etc.).
Ensure all procurement activities are documented and filed properly for audit purposes.
Assist in inventory records or stock-taking activities on-site when required.
Work closely with the site supervisor/engineer to confirm material specifications and delivery priorities.
Report delivery issues or material shortages to the relevant project or procurement manager.
Check quality and quantity of goods received on-site.
Assist in compiling supporting documents for payments (e.g., invoices, delivery orders, POs).
Submit complete sets of procurement documents to the accounts or finance department for processing.
Ensure all procurement activities comply with company policies and procurement procedures.
Support the procurement officer/manager in ensuring cost-effective purchasing.
