Procurement and Facilities Management Specialist

Procurement and Facilities Management Specialist

Key Responsibilities

  1. Manage financial responsibilities, including budget tracking, processing payments, and overseeing expense reports to ensure fiscal accountability and adherence to budgetary constraints.
  2. Serve as the point of contact for branch staff regarding travel and accommodation needs, including complex trips, travel authorizations, bookings, communication with travel agencies, and processing expense claims.
  3. Schedule and coordinate major meetings and events with external and internal stakeholders, including logistics management and on-site assistance.
  4. Coordinate procurement tasks such as managing purchase orders, supplier registration, and communication, ensuring alignment with procurement guidelines. Oversee facilities-related procurement activities like license renewals, insurance, and supplier payments. Manage work permits for contractors as necessary.
  5. Staff the reception area, greet visitors, manage access cards, answer and direct phone calls, and maintain office security procedures.
  6. Ensure office safety, health, and well-being through maintenance, training, and policy drafting.
  7. Provide backup for the Tea Lady and Facility Coordinator during absences and perform other duties assigned by the manager.
  8. Perform additional procurement and facilities management tasks as assigned.

Job Requirements

  • Minimum of 5 years of relevant administrative support experience.
  • Experience in project and vendor management is advantageous.
  • Relevant qualifications are preferred.
  • Proficiency in Microsoft Office is mandatory.
  • Excellent interpersonal, written, and verbal communication skills.
  • Proven ability to multitask and pay attention to detail.
  • Strong organizational skills to meet deadlines.
  • Ability to work independently with minimal supervision.
  • Problem-solving skills.
  • Negotiation skills and vendor management experience.
