about the job

We are seeking a highly organized and proactive Personal Assistant to support our Managing Director in daily administrative and executive tasks.


Key Responsibilities:
  • Provide full-spectrum personal and executive support to [Director/Manager/CEO], including calendar management, travel arrangements, and meeting coordination.

  • Translate business documents, emails, and verbal communications between Mandarin and English.

  • Liaise and maintain professional correspondence with Mandarin-speaking clients, suppliers, and stakeholders.

  • Prepare meeting agendas, take detailed minutes, and follow up on action items.

  • Handle confidential and sensitive information with discretion.

  • Organize and maintain an efficient filing and documentation system (physical and digital).

  • Monitor deadlines, reminders, and task completion to ensure timely execution of priorities.

  • Coordinate personal matters, errands, or events as assigned by the executive.

  • Conduct basic research and compile information for decision-making.

  • Support ad hoc projects and administrative tasks as required.


Requirements:
  • Proven experience as a Personal Assistant, Executive Assistant, Admin or Secretarial or similar role is ideal,
    however fresh graduates with relevant degree/diploma/certifications are welcome to apply.

  • Fluent in English, Malay and Mandarin due to business needs of liaising with stakeholders is a must

  • Excellent organizational and time-management skills.

  • Strong communication and interpersonal abilities.

  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint) and digital productivity tools.

  • Discreet, resourceful, and able to work independently under minimal supervision.

  • Ability to multitask and manage competing priorities in a fast-paced environment.

  • Prior experience supporting C-level or senior executives is an advantage.
