Job description

We are representing a multinational corporation that has been incorporated since October 2020. The organization is proudly headquartered in Malaysia, with expansion across Southeast Asia, including Thailand, Indonesia, and Taiwan.

With the current business expansion, they are looking for a Personal Assistant (Senior).

Responsibilities:

Executive-Level Support:

  • Manage Director's expenses, calendar, and phone calls to ensure efficient time management.
  • Oversee claims processing and reimbursements.
  • Coordinate business and personal arrangements for the Director.
  • Handle ad-hoc assignments from senior management proactively.
  • Organize all group meetings, maintaining accurate and accessible calendars.
  • Conduct research to support the Director's decision-making.
  • Prepare reports and presentations with insights.
  • Liaise with internal and external stakeholders on confidential matters.
  • Prepare detailed meeting minutes, including action items and follow-ups.

Project & Event Management:

  • Manage project timelines and ensure timely updates from department heads.
  • Coordinate and schedule appointments, meetings, and travel arrangements for the Director.
  • Organize travel plans, including flights, hotels, and ground transportation.
  • Plan and execute corporate events such as annual dinners and company trips.

Overall:

  • Perform additional duties as directed by the Director and Executive Assistant, commensurate with the position.

Requirements:

  • Minimum 3 years of experience in a high-level secretarial and administrative role.
  • Proven ability to support C-suite executives with a deep understanding of their needs.
  • Exceptional written and verbal communication skills in English.
  • Ability to manage diverse stakeholders and navigate various personalities and communication styles.
  • Proactive, resourceful, and highly adaptable with a strong sense of responsibility and responsiveness.
  • Uphold strict confidentiality regarding Director’s matters and prioritize their interests.
