Job description

Job Responsibility

  • Updates and maintains the CEO’s schedule /diary including prioritising and monitoring any schedule / diary conflicts, and continuously updates the CEO of upcoming commitments and engagements.
  • Manage communications, monitor emails, post and calls taking appropriate action, escalating or delegating based on the directive of the CEO to manage his time efficiently and able to deal with situations in the boss’s absence.
  • Plan and organise the requirements for meetings involving the CEO such as schedules, meeting rooms, equipment and catering, etc.
  • Scheduling and attending external meetings and functions as required.
  • Maintain systematic filing system for documents and records, sends out documents e.g. faxes, emails, memo etc and arrange to distribute on a timely basis.
  • Maintains and updates the CEO’s internal and external contacts to ensure quick and accurate retrieval.
  • Assist CEO on information sourcing upon drafting of business documents, briefing papers, reports and presentations.
  • Preparation of proposals and tender documents.
  • Interpret and translate documents from Chinese or English.
  • Coordinates all necessary business and personal travel arrangements for the CEO including but not limited to itineraries, flight reservations, transportation requirements and accommodation bookings in a timely, accurate and cost effective manner.
  • Apply visa whenever required and manages documentations pertaining to all travel arrangements activities, anticipates travel changes or problems and provide quick solutions to maximise the CEO’s time.
  • Assist CEO in other matters or ad hoc project support from time to time and other tasks that facilitate the CEO's ability to effectively lead the company

Job Requirements

  • Bachelor Degree in Business Administration / Secretarial Studies.
  • Minimum 2 years in providing secretarial support to Top Management, preferably with finance related knowledge.
  • Proficient in English & Mandarin, BOTH WRITTEN & SPOKEN.
  • Knowledge in MS Office Applications.
  • Good in report writing skills, strong communication and listening skills.
  • Possess impeccable attention to detail; outstanding time management skills; work quickly and efficiently
