A leading Malaysian property developer is seeking a Personal Secretary to support the CEO by managing schedules, correspondence, and communication with stakeholders. The ideal candidate will possess at least a Diploma and have 3-5 years of relevant experience. Strong organizational skills and proficiency in multiple languages, including English and Mandarin, are essential for this role. Provide a full range of confidential secretarial duties and overall administration support to the Chief Executive Officer (CEO).
Plan, maintain, and coordinate the CEO's scheduling management, travel and accommodation arrangements, arrange lunch/dinner venue reservations, and plan annual leaves.
Effectively support the CEO by compiling, proofreading, and reviewing all incoming calls, emails, documents, and ensuring timely correspondence and approvals.
Organize meetings and follow up on actions post-meetings. Take meeting minutes or provide general assistance during presentations if required.
Respond to Board members and other stakeholders' queries in a timely and professional manner, both orally and in writing.
Liaise and coordinate with HODs, internal staff, Board members, and Business Associates.
Plan, organize, manage, and coordinate the Driver’s schedule.
Job Requirements:
Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, Professional Degree, Master's Degree, in any field.
At least 3-5 years of working experience in a related field is required.
Self-motivated, result-oriented, problem-solving skills, confident, positive personality, and good business acumen.
High accuracy, resourcefulness, attention to detail, and strong work ethics.
Effective communication in English, Mandarin, and Bahasa Malaysia (spoken and written). Proficiency in Mandarin is preferred for communication with Mandarin-speaking clients.
Able to work independently and interact professionally across departments.
