Job description

We are seeking a highly organised and proactive Personal Assistant (PA) for the sales department to join our team at Advance Lube Enterprise Sdn Bhd in Kempas, Johor.This full-time role will provide crucial administrative and executive support to our senior leadership, enabling them to focus on higher-level strategic objectives.

What you'll be doing

Liaise with Customers & Customer Service Teams

Serve as a point of contact between customers and internal departments

Ensure customer inquiries and issues are addressed promptly

Coordinate with Sales Team & Prepare Quotations

Work closely with salesmen to gather necessary information

Prepare and submit accurate quotations to customers

Handle Proforma Invoices & Billing

Generate proforma invoices and official billing documents

Ensure accuracy in pricing, terms, and product details

Arrange Product Shipments

Coordinate with logistics or relevant departments to schedule and arrange product deliveries

Track shipments and update customers on delivery status

Any ad-hoc jobs required by management

What we're looking for

Proven experience as a Personal Assistant or Executive Assistant, ideally in a similar industry

Excellent organisational and time management skills with the ability to multitask and prioritize effectively

Strong communication and interpersonal skills, with the ability to interact with all levels of the organisation

Proficient in using the MS Office suite, including advanced skills in Excel and PowerPoint

Demonstrable attention to detail and a commitment to maintaining confidentiality

Flexibility and a proactive approach to problem-solving
