Personal Assistant to Chief Executive Officer

Are you detail-oriented, a continuous learner, and adept at organization? Do you enjoy working closely with CEOs and thrive in dynamic environments? iWISERS, an innovative APAC intelligence start-up leading in social intelligence, presents an exciting opportunity for a Personal Assistant role. As a valued member of our team, you will support administrative tasks and manage the CEO's day-to-day affairs, including scheduling, meetings, communications, and office and personal duties. Your role involves close collaboration, calendar coordination, correspondence management, running errands, and ensuring smooth workflow, seamlessly managing our CEO’s work and personal life. Adaptability and multitasking are crucial for success.

The ideal candidate will be resourceful, detail-oriented, and capable of managing a wide range of responsibilities to ensure the smooth operation of both professional and personal aspects of the employer's life. Your contribution will significantly impact our business's efficiency and aid in managing the CEO's responsibilities seamlessly.

Job Responsibilities
  1. Assist C-level personnel with meetings, schedules, reminders, bookings, logistics, expenses, and administrative duties.
  2. Greet visitors, manage visitor appointments, diffuse conflicts, and create a welcoming office environment.
  3. Maintain high-level business relationships, communicate with key contacts, and prepare research notes and summaries.
  4. Track the CEO's routines and follow up on contacts or actions required.
  5. Manage the CEO's network by providing reminders for birthdays, anniversaries, project renewals, and events.
  6. Identify opportunities for the CEO's professional growth, such as workshops and networking events, and coordinate logistics.
  7. Coordinate with internal teams for communication and actions with clear deadlines.
  8. Assist in budget preparation, expense tracking, and financial reporting, working with finance departments.
  9. Collaborate with legal counsel on compliance, document filings, and contract reviews.
  10. Coordinate logistics for professional and personal activities like shopping and deliveries.
  11. Set expectations with stakeholders before meetings to ensure preparedness.
  12. Research, prepare, and process registries or applications required by the CEO.
  13. Provide regular updates on scheduled actions and events.
  14. Maintain confidentiality and exercise discretion with sensitive information.
  15. Anticipate the CEO’s needs and support wellbeing and productivity.
  16. Work extended hours, accompany the CEO on trips, and assist with personal errands as needed.
Minimum Qualifications
  1. 3-5 years of experience in personal assistant roles, preferably in startup and corporate environments.
  2. Exceptional organizational and multitasking skills.
  3. Knowledge of office management systems and procedures.
  4. Proficiency in Google Sheets and/or Microsoft Excel.
  5. Ability to work under pressure and meet deadlines with confidence.
  6. Experience in stakeholder expectation management and cross-department collaboration.
  7. Familiarity with office gadgets and productivity applications.
  8. Ability to perform independently and adapt to various situations.
  9. Willingness to learn and develop continuously.
  10. PA diploma or certification is advantageous.
