Fairview International School is seeking an administrative professional to support the Chairman. This role involves managing appointments, overseeing financial matters, and ensuring the smooth operation of the office. The ideal candidate will demonstrate strong organizational skills and attention to detail, contributing to the school's mission of delivering exceptional educational experiences.
Confidentiality Management: Handle confidential and sensitive documents and information with the utmost discretion, in alignment with Fairview’s commitment to maintaining a high standard of privacy and integrity.
Calendar & Appointment Management: Manage and maintain the Chairman’s appointments and calendar, ensuring efficient scheduling of meetings and prioritizing key engagements.
File & Record Management: Organize and maintain the Chairman’s files and records in an orderly and secure manner, ensuring quick access when required.
Document Management: Ensure that documents requiring the Chairman’s signature are signed promptly and returned to the correct sender, maintaining an organized flow of communication.
Office & Meeting Room Maintenance: Oversee the upkeep of the Chairman’s office, meeting room, and surrounding areas, ensuring a professional and welcoming environment at all times.
Meal & Medicine Management: Coordinate daily meals and manage the Chairman’s medication schedule, ensuring that all health-related needs are efficiently met.
Financial Management: Oversee the management of the Chairman’s credit cards, club memberships, and other financial obligations.
Leave Application Management: Extract senior staff leave applications for Chairman’s approval on a weekly basis to ensure smooth operational planning.
Transaction Authorization: Authorize daily financial transactions (OCBC/CIMB/Maybank) on behalf of the Chairman in compliance with organizational protocols.
Travel Arrangements: Make necessary travel arrangements for the Chairman, including booking transportation, accommodations, and related travel requirements.
Event Planning & Coordination: Plan and assist with organizing company events, aligning with the vision of Fairview’s mission to provide an exceptional educational experience.
Support to Senior Management: Provide administrative support to other senior management staff as needed, ensuring alignment with overall operational goals.
Corporate Gift Management: Manage and maintain stock of corporate gifts for various internal and external occasions.
Hospital Visit Authorization: Issue Guarantee Letters for senior management staff for hospital visits or admissions as required.
Floral Arrangements: Arrange for flowers or wreaths for appropriate occasions to ensure thoughtful gestures are communicated on behalf of the Chairman.
Ad-Hoc Tasks: Handle any additional tasks as directed by the Chairman, with flexibility and attention to detail.

Having been authorised for 10 IB programmes and evaluated after the 5 year cycle for 5, Fairview moves on to expand into 3 more campuses in Malaysia. The tuition fee for this course is fully sponsored by the school. There are ample opportunities for professional development including the International Baccalaureate Teaching and Learning Awards.
