Job description

This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Job Responsibilities:

  1. Executive Support: Provide high-level administrative assistance to the Director, ensuring smooth day-to-day operations.
  2. Schedule Management: Proactively manage the Director’s calendar, including meetings, appointments, and travel arrangements, while prioritizing conflicting demands.
  3. Meeting Coordination: Prepare agendas, take accurate minutes, and follow up on action items to ensure timely execution.
  4. Communication Liaison: Serve as the primary point of contact between the Director and internal/external stakeholders, maintaining professionalism and discretion.
  5. Document Preparation: Draft, proofread, and format reports, presentations, and correspondence with a keen eye for detail.
  6. Ad Hoc Tasks: Assist with project coordination, event planning, and other duties as required.

Requirements:

  • Minimum 3 years as a PA or Executive Assistant, preferably in property development, real estate, or a related field.
  • Exceptional ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
  • Fluent in English (written and spoken); articulate and presentable with strong interpersonal skills.
  • Proficient in MS Office (Outlook, Word, Excel, PowerPoint); familiarity with project management tools is a plus.
  • Discreet, polished, and adaptable to dynamic executive needs.
  • Experience in minute-taking for high-level meetings.
  • Able to anticipate needs and work independently.
