Job description

The Assistant, Payroll will be responsible for assisting with payroll processing activities, ensuring accuracy and compliance with company policies and procedures. The ideal candidate will have a strong aptitude for numbers, excellent communication skills, and the ability to work effectively in a fast-paced environment.

Duties & Responsibilities:

Monitor and manage daily employee’s attendance records using HRIS (e.g., info-Tech, etc.)

Identify and resolve discrepancies related to time-in/out, shift schedules, leave, overtime, and absenteeism.

Coordinate with department supervisors on attendance corrections and approvals.

Payroll Support:

Prepare and verify payroll inputs (OT, unpaid leave, shift allowance, etc.) for monthly processing.

Ensure payroll data is complete, accurate, and submitted according to schedule.

Liaise with the payroll vendor or internal payroll team for timely salary disbursement.

Leave and Benefits Administration:

Maintain and update leave balances and medical entitlements.

Process leaves applications in line with company policies.

HRIS & Reporting:

Maintain accurate employee records in HRIS/payroll systems.

Generate payroll and attendance reports for management review.

Assist with audits, statutory filings (EPF, SOCSO, EIS, PCB), and other compliance matters.

General HR Support:

Support employee onboarding and offboarding processes including documentation and system updates.

Perform other HR and administrative duties as assigned.

Minimum & Preferred Qualifications and Experience:

Minimum Qualifications:

• Minimum 2 years’ experience in HR/payroll, preferably in a high-headcount environment (2,000+ employees).

• Good understanding of Malaysian labor laws and statutory payroll requirements.

• Familiarity with payroll software or systems is often preferred.

• Good interpersonal skills and ability to work well with internal and external stakeholders.

• Proficiency with basic computer software such as Microsoft Excel, Word, and email is often required.

Physical requirements/Work Environment

This position primarily works in an office environment. It requires frequent sitting, standing and walking. Daily use of a computer and other computing and digital devices is required.
