Job description

- Manage schedules, appointments, and travel arrangements for the Director/GM.
- Organize and prepare meeting agendas, minutes, and reports.
- Handle confidential documents and communication on behalf of the Director.
- Screen and prioritize emails, calls, and other correspondences.
- Coordinate site visits, VIP visits, and external stakeholder meetings.

- 协助准备会议议程、会议纪要、报告。
- 处理上级交办的保密文件与沟通事务。
- 筛选并优先处理电话、电邮及其他来往信息。
- 安排贵宾接待、现场考察、客户拜访等活动。

Administrative Management / 行政管理职责

- Supervise daily operations of the administration department.
- Ensure proper documentation, filing, and record-keeping for factory, HR, and compliance matters.
- Liaise with authorities (e.g., DOSH, DOE, MBPP, Customs) for license renewals and site inspections.
- Oversee office supplies, company assets, and office equipment maintenance.
- Assist in preparing and submitting reports like employee attendance, inventory, and internal memos.
- 统筹行政部日常运作,确保文件管理、档案归类与各类事务流程规范。
- 负责与相关政府部门对接,如DOSH(职业安全与卫生局)、DOE(环境局)、市政厅、海关等,处理许可证申请与续期。
- 管理办公用品采购、固定资产登记、设备维护及公司财产安全。
- 协助制作内部报告,如考勤表、资产清单、行政通告等。

HR & Compliance Support / 人事与合规

- Support recruitment, onboarding, and documentation of site employees.
- Monitor employee discipline, leave records, and performance-related paperwork.
- Ensure compliance with company policies, legal regulations, and safety SOPs.
- 协助员工招聘、入职手续与人事档案管理。
- 跟进员工考勤、假期申请、纪律记录及绩效表格。
- 协助推动公司政策、劳动法令、安全SOP的执行与合规。

Account/Admin Liaison / 行政/财务基础配合

- Work with account/admin to process utility bills, petty cash claims, and purchase orders.
- Monitor administrative budget and report discrepancies.
- 协助处理水电费、电话费、零用金报销、采购订单等行政财务事项。
- 管理行政预算,控制办公费用支出。

Requirements / 任职要求

- Diploma/Degree in Business Administration or related field.
- Minimum 3 years of relevant experience, preferably in an industrial setting.
- Familiar with Malaysian labor laws, industrial safety practices, and government bodies.
- Proficient in English, Bahasa Malaysia, and Mandarin.
- Skilled in Microsoft Office.
- Able to multitask, work independently, and maintain confidentiality.

- 至少3年以上私人助理或行政管理经验,有制造业或工业领域背景者优先。
- 熟悉马来西亚劳工法规、工业安全流程及相关政府部门。

- 熟练使用Microsoft Office办公软件(Word、Excel、PowerPoint)。
- 具备良好的时间管理能力,能够独立作业并妥善保密。

Monday to Saturday (half-day Saturday, depending on company policy)
