rhi is recruiting for an Order Management Specialist to join our client's team based in KL, Malaysia.

This is an initial 12-month opportunity with work hours from 9am to 6pm, involving 3 days in the office and 2 days remote work.

The Order Management Specialist is the primary contact for customers when placing orders for International, Domestic Marine, and Energy products and services. The role involves managing customer relationships and overseeing the entire order-to-invoice process within the Order-to-Cash (O2C) cycle.

The OM Specialist must ensure customer orders comply with brand standards before placement and keep customers informed about delivery progress, vessel ETA changes, product shortages, out-of-hours incidents, and price inquiries. The role requires:

  • Deep understanding of customer service processes and a ownership mindset
  • Knowledge of the shipping, marine, and energy markets and their global supply networks

Responsibilities:

  • Establish and maintain strong relationships with distributors, suppliers, customers, and sales managers by being the main contact point. Regular communication with purchasers, Chief Engineers/Ship Captains, Sales Managers, and Supply/Logistics staff worldwide is expected.
  • Handle daily customer service operations such as receiving and processing inquiries and orders via phone, email, and fax, ensuring all necessary information is collected, acknowledged, and meets expectations within contractual timeframes.
  • Ensure all orders are accurate, compliant, informative, and of good quality.
  • Collaborate with the Credit team to ensure sufficient credit for order processing.
  • Proactively monitor orders to ensure timely delivery.
  • Escalate potential issues to supervisors or managers.
  • Record and log all customer complaints and non-conformances in designated portals or databases.

About you:

Education and Experience:

  • Bachelor's degree or higher in Business, IT, Engineering, or related fields.
  • Lean Practitioner certification is desirable.

Experience:

3-4 years in customer operations.

Preferred Criteria:

  • Customer service or Shared Service Centre experience.
  • Oil and gas industry experience.
  • Experience processing orders.
  • Stakeholder engagement skills.
  • Proficiency in English (spoken and written).
  • Ability to prioritize, handle urgent issues, and resolve problems promptly.
  • Ability to multitask in a fast-paced environment.
  • Experience in customer-focused settings.
  • Strong interpersonal, influencing, and decision-making skills.
  • Experience with SAP is an advantage.
