Overview

IDC is seeking detail-oriented individuals with a self-starter approach to perform the role of Order Management Specialist. This key role is responsible for ensuring accurate and timely processing of orders to create positive customer outcomes.

This is a hybrid role, requiring time onsite at our Kuala Lumpur, Malaysia office.

Responsibilities

Order Processing:

  • Take ownership of orders through the order lifecycle, ensuring timely and accurate processing at every stage.
  • Carefully review all submitted orders to confirm they include all necessary documentation and comply with all company policies.
  • Conduct thorough audits of orders, comparing paperwork against system entries to identify discrepancies and proactively follow up on incomplete or inaccurate orders, ensuring any missing or corrected information is obtained before processing.

Order Entry:

  • Accurately input verified orders into the regionally assigned ERP system, ensuring that all relevant details, such as products, quantities, pricing, and customer information, are correctly reflected.

Error Resolution:

  • Serve as a key point of contact for order-related issues, working in partnership with the Sales team, Revenue Operations, and other departments to quickly resolve discrepancies or errors in orders.
  • Maintain clear and open communication with stakeholders, providing timely updates on issue resolution and ensuring that customer expectations are managed appropriately.

Manage Order Flow:

  • Regularly monitor order queues, identifying pending or delayed orders and prioritizing based on urgency, value, or end-of-month deadlines.
  • Collaborate closely with Revenue Operations and Sales, especially during critical periods like month-end or quarter-end, to expedite the review and processing of outstanding orders and ensure they are closed before cutoff times.
  • Continuously optimize the order review process by identifying bottlenecks, adjusting workflows, and providing feedback to management on potential process improvements to speed up order processing and enhance throughput.
Qualifications
  • Bachelor's degree in Business, Finance, or a related field.
  • Experience in order management, sales administration, sales finance, or sales operations.
  • Familiarity with order management software, CRM and/or ERP systems (Salesforce experience is a plus).
  • Proficiency in MS Office, particularly Excel.
  • Detail-oriented, analytical, and organized.
  • Strong self-starter with the ability to handle multiple tasks.
