HES is looking to employ a highly motivated and values-driven Operations and Compliance Manager to join a fast-paced and dynamic team in September 2025
The Operations and Compliance Manager reports to the Chief Operating Officer.
The Operations and Compliance Manager works closely with the Chief Operating Officer of HES to develop, implement and review various projects, processes and policies of the HELP Group of Schools.
Key roles will include assisting the COO to
Support the Operation and/or Facilities services of the HELP Group of Schools, to ensure a safe environment for all employees and students; and
Liaise with various governmental bodies to ensure compliance to all relevant regulations, and obtaining all relevant approvals and permits for operation; and
Work on new projects and business development initiatives for the HELP Group.
The Operations and Compliance Manager must have strong leadership and organizational skills, flexibility and problem-solving capabilities, as well as excellent interpersonal and communication skills in both English and Bahasa Malaysia.
To oversee and provide guidance to Schools and ensure compliance with the school’s key areas of operations, including but not limited to
Purchasing and Procurement
Events & School Trips
Co-Curricular Activities
Building Management
Regulatory Compliance
Data Protection Compliance
2. To work with the respective School’s Operation/ Facilities Head/ relevant stakeholder to
Ensure that the school environment is safe, operational and follows requirements from government regulatory bodies
Implement and execute policies, process, preventive measures and standard operating procedures to ensure compliance for the school, staff members and third-party service providers/contractors/vendors.
Ensure that third-party service providers are performing their services to high standards and that any issues are highlighted and rectified in a timely manner.
3. Where possible, consolidate and develop best practices for the HELP Group of Schools to adhere to.
4. To implement a regular audit cycle of each school’s operations, to ensure a commitment to continuous quality assurance and improvement, compliance with regulatory requirements (e.g. Personal Data Protection Act), and support each school’s operations team in exploring new projects and initiatives while ensuring that smooth and efficient operations continue on a day-to-day basis.
5. To implement a regular schedule of planned and random inspections of each school’s facilities, to work with each school’s facilities teams to identify areas that require maintenance and/or improvement / renovation, and ensure that the timeline for these works are implemented in a timely and appropriate manner.
6. To liaise and work with various government regulatory bodies to ensure that the School has the relevant approvals and permits for operation, including but not limited to building permits, Ministry of Education approvals and relevant permits, etc.
7. To maintain good working relationships with the Principal and Senior Leadership Teams of each school, so as to be able to advise and support the schools in their day-to-day functions.
8. For major projects, to oversee and liaise with vendors and ensure that work is completed to a high standard.
Candidate should ideally possess at least a Diploma or Bachelor's Degree in Facilities Management, Business Administration, General Administration, or equivalent;
Required digital skill(s): MS Office (proficiency in Excel is crucial), Google Apps
Required language(s): English, Bahasa Malaysia (excellent written and verbal communication skills)
Ideally, a minimum of ten year(s) of working experience in the related field is required for this position
Operational Safety and Health Administration (OSHA) knowledge is an advantage
Experience in preparing documentation and liaising with governmental bodies is an advantage
Experience with and basic understanding of Personal Data Protection Act (PDPA) and other Malaysian regulatory requirements is an advantage
Able to work proactively, independently and with a minimum of supervision
Is open to continuous learning
Meticulous work habits and presentation
