Job description

Manage day-to-day office operations, including front desk duties, office cleanliness, pantry and stationery supplies, and upkeep of shared spaces.

Handle administrative tasks assigned by the Operation Manager in a timely and efficient manner.

Coordinate and manage office-related matters such as facility maintenance, tenancy agreements, courier services, telecommunications, pest control, and office equipment.

Arrange and coordinate travel bookings for business trips and meetings, including transport, accommodation, and travel insurance in accordance with company policies.

Manage incoming and outgoing mail, documents, and parcels, ensuring timely distribution and proper record-keeping.

Maintain accurate documentation, filing systems, and office records, both physical and digital.

Ensure compliance with internal office policies and standard operating procedures.

Act as the first point of contact for administrative issues and resolve or escalate them as necessary.

Support employee welfare activities such as festive celebrations, corporate gifting, and office events.

Assist in coordinating non-confidential HR-related tasks, including training logistics, onboarding support, and employee engagement activities.

Liaise with vendors, service providers, and building management to ensure smooth daily operations.

Provide administrative support for internal meetings, company functions, and event setups.

Requirements:

Minimum Diploma in Business Administration, Office Management, or a related field.

At least 2 years of relevant experience in administrative or clerical functions.

Proficient in Microsoft Office applications with strong computer literacy, accurate typing skills, and attention to detail in proofreading.

Able to perform effectively in a fast-paced and dynamic work environment.

Capable of working independently while being a collaborative team player.

Meticulous, dependable, and able to multitask while taking initiative to resolve problems proactively.

Excellent communication skills in both English and Bahasa Malaysia (written and spoken).

Positive attitude, approachable personality, and comfortable interacting with employees at all levels. Eagerness to learn and grow is essential.
