Responsibilities
- Coordinating transportation providers to ensure prompt and proper movement of shipments.
- Responding to customer inquiries and referring clients to the proper channels.
- Reviewing purchase orders and shipping documents to ensure accuracy.
- Making special shipping arrangements as necessary.
- Tracking and fixing shipping errors.
- Managing distribution and shipment budgets.
- Ensuring that the quality of all services provided meets the required standards.
- Developing processes that make the supply chain more efficient and organized.
- Coordinating and monitoring supply chain operations.
- Ensuring premises, assets and communication ways are used effectively.
- Utilizing logistics IT to optimize procedures.
- Recruiting and coordinating logistics staff (e.g. truck drivers) according to availabilities and requirements.
- Supervising orders and arranging stocking of raw materials and equipment to ensure they meet needs.
- Communicating with suppliers, retailers, customers etc. to achieve profitable deals and mutual satisfaction.
- Planning and tracking the shipment of final products according to customer requirements.
- Keeping logs and records of warehouse stock, executed orders etc.
- Driving customer engagement, satisfaction, retention and reactivation in close cooperation with Operation Team.
- Responding promptly to customer inquiries related to shipping, tracking, delivery status, documentation, and customs.
- Tracking and monitoring the status of shipments and providing regular updates to customers regarding the status of their orders.
- Resolving shipment delays, customs hold-ups, damaged goods, lost shipments, billing discrepancies or any other issues that may arise to ensure customer satisfaction.
- Processing and managing import and export orders, ensuring accurate documentation and timely dispatch of goods.
- Coordinating with vendors, oversea agents, and shipping carriers/airlines to schedule shipments and confirm delivery timelines.
- Preparing and reviewing all required documentation for international/local shipments, including invoices, packing lists, bills of lading, certificates of origin, and customs declarations.
- Ensuring compliance with import/export regulations, including tariff classifications, duties, and taxes.
- Keeping updated on changes to international trade regulations and customs procedures.
- Participating in meetings and discussions related to customer feedback, service improvements, and process optimization.
- Monitoring closely the progress of work orders from place booking to release booking and keeping the customers informed regularly.
- Setting up meetings with customers to understand better customer needs to negotiate rate and services.
- Maintaining good relationships with existing customers.
- Responding promptly to customer's inquiries and concerns.
- Identifying and following up new business/market opportunities.
- Handling complaints from customers, providing appropriate solutions and alternatives promptly and following up to ensure resolution.
- Preparing monthly reports or any other ad-hoc reports upon request.
- Performing any ad-hoc duties as assigned or required from time to time.
Requirements
- Candidate must possess at least Primary/Secondary School/SPM/'O' level, Diploma/Advanced/Higher/Graduate Diploma in Logistic/ Transportation or equivalent.
- Required language(s): Mandarin as most spoken dialect, English, Bahasa Malaysia and other languages will be added advantage.
- Good MS.Office (MS.Excel, MS.Word, MS.PowerPoint).
- At least 3 Years of working experience in the related field is required for this position.
- Good communication skills (written and oral).
- Strong team player, disciplined and punctual.
- Knowledge of International trade terms & business.
- Experience in dealing with customs, shipping & port.
