We are seeking a proactive and detail-orientedOfficer,Purchasingto manage the full procurement process, including sourcing suppliers, handling documentation, and coordinating with internal departments. The ideal candidate will have experience with building materials, excellent organizational skills, and the ability to work efficiently in a fast-paced environment.

Key Responsibilities:

Source andobtain quotations from at least three suppliersto ensure competitive pricing before issuing purchase orders.

Monitor and manage the purchase order process, from requisition to delivery.

Maintain good working relationships with suppliers and clients to ensure smooth operations.

Coordinate and liaise with suppliers and site personnelto resolve any delivery or material issues.

Work with suppliers on vendor applications, guarantor forms, or any other required documentation.

Issue SCAR (Supplier Corrective Action Request)when necessary to address delivery issues or quality concerns.

2. Documentation & Filing

Ensure all procurement documents are properly matched, filed, and organizedfor easy reference.

Handle the matching of Material Requisition Forms (MRF), Purchase Orders (PO), Delivery Orders (DO), and Invoicesbefore submitting them to the accounts department for payment.

Ensure invoices are sent promptly to the accounts team to avoid delays in payments.

3. Coordination with Internal Departments

Maintain close coordination with the Accounts Departmentto ensure smooth processing of payments.

Collaborate with internal stakeholders to understand procurement needs and requirements.

Build and maintain positive relationships with clients and suppliers.

Conduct an annual customer satisfaction surveytoevaluate and improve service quality.

5. Reporting & Administrative Support

Support the management by completing tasks that contribute to the overall purchasing goals and company mission.

Perform ad-hoc dutiesas assigned by the management.

Job Requirements:

Minimum 1yearof working experience in a purchasing or procurement-related role.

Knowledge of building materialsis essential; must be able to identify and verify material specifications based on client requests.

Proven ability to work efficiently in a fast-paced environmentand meet deadlines consistently.

Strong interpersonal and communication skillsto interact effectively with suppliers, clients, and internal teams.

Highly resourceful, self-motivated, and proactive in solving problems and improving processes.
