Job Summary
To assist in overall marketing administrative work of the department, as well as to assist with concierge duties.
Key Responsibilities
1. Assist in overall marketing administrative work and systems, eg. Ariba, Yardi, etc of Marketing department.
2. Assist in handling casual leasing matters such as issuance of Letter of Offer, License Agreement, standard letter, reminders, refund of deposit, etc.
3. Assist in following up all the Letter of Offer and License Agreement are executed by both parties and stamped.
4. Ensure that all incoming and outgoing documents are properly recorded, safely received, and dispatched to the intended recipient.
5. Work in close liaison with internal departments and external parties to follow up all the outstanding documents and approvals.
6. Ensure that all documents are filled systematically, safely and optimally.
7. Maintain an up-to-date database of tenants/ vendors’ contact details.
8. Provide marketing administrative support to Marketing team (which include filing, correspondences, payment collection, collection of tenant/ vendor documentation etc.)
9. Fosters professional and good working relationships with tenants/ vendors.
10. Assist to prepare reports and/or presentation slides for meetings and presentations.
11. Ensure proper inventory and archiving of all Advertising & Promotion materials and gifts.
12. Assist in the preparation and application of event licenses from local authorities.
13. Must be able to work during weekends and public holidays when required.
14. Assist with concierge duties whenever it’s necessary.
15. Carry out ad hoc tasks or duties as required by superior from time to time.
