Job description

Job Description: Depot Manager

To ensure KL Depot's operations are delivered effectively and on time, and to execute appropriate action plans. The Depot Manager is expected to work with minimal supervision, with clear objectives and goals, ensuring adherence to SOPs at all times. Building good working relationships among depots, inter-departmental teams, and external customers is essential. The role requires a strong sense of responsibility, positive attitude, integrity, and effective time management skills. The manager must adapt to changes based on market expectations and business needs, managing scope, schedules, costs, and multitasking assignments.

Responsibilities
A) Administration
  1. Monitor sales order processing and ensure timely delivery of goods.
  2. Update human resources matters periodically at HQ and take timely action.
  3. Monitor credit control and collections to meet management targets.
  4. Ensure collections are banked on time (cash & cheques).
  5. Oversee office building maintenance and company assets to ensure good condition.
  6. Issue sales returns, credit notes, and debit notes promptly to avoid payment delays.
  7. Facilitate effective communication among internal and external customers.
  8. Monitor security guard and CCTV functionalities.
  9. Conduct and chair weekly inter-department meetings unless postponed.
B) Sales Administration
  1. Drive sales to achieve targets.
  2. Develop and expand the company's business.
  3. Visit top 10 customers monthly and address problematic issues.
  4. Support and achieve marketing and sales promotions.
  5. Lead outdoor sales activities such as expo sales.
  6. Lead F&B service team to meet sales targets.
  7. Monitor advertising & promotion expenditures.
  8. Control market returns.
  9. Conduct and chair weekly inter-department meetings unless postponed.
C) Warehousing
  1. Maintain a clean and tidy warehouse environment.
  2. Segregate good and bad stocks, applying FIFO.
  3. Order goods from the factory based on sales budgets.
  4. Ensure timely delivery to enhance customer service.
  5. Plan delivery schedules cost-effectively.
  6. Supervise store workers, emphasizing self-discipline.
  7. Perform regular monthly stock audits.
  8. Update sales team on slow-moving products.
  9. Conduct and chair weekly inter-department meetings unless postponed.
