MANAGER - FINANCE AND ADMINISTRATION DEPARTMENT, AMANAHRAYA TRUSTEES BERHAD
OBJECTIVES OF POSITION
Responsible for daily operation of finance and administration tasks and provide support function to other Departments and Units effectively and efficiently.
RESPONSIBILITIES OF POSITION
- Review monthly and annual financial statements.
- Manage the preparation and timely preparation of full sets of corporate accounts.
- Assist the Head of Department in preparing monthly financial performance reports and conducting variance analysis.
- Oversee the accounting for investment funds, including daily valuation, NAV calculations, reconciliation of fund transactions, and preparation of fund financial statements to ensure accurate and timely reporting to stakeholders.
Accounts Payable & Receivable Management
- Oversee accounts payable and receivable activities to ensure timely payments and collections, maintaining accuracy and compliance with company policies.
- Monitor aging reports and manage collections and payments to optimize cash flow.
- Review and ensure the accuracy of vendor ledgers.
Treasury & Cash Flow Management
- Oversee daily cash management operations, including monitoring cash flow, fixed deposit placements, withdrawals, and roll-overs.
- Supervise the company’s liquidity management to ensure sufficient funds for daily operations.
Budgeting & Financial Planning
- Assist the Head of Department in preparing company’s annual budgets, financial forecasts and conduct variance budget analysis.
- Provide update revenue and expenditure reports against budget and support the Head of Department in the preparation of board papers related to budgeting.
E-Invoicing Management for Corporate Accounts
- Monitor and ensure compliance with the mandatory e-invoicing regulations for corporate accounts.
- Ensure accurate e-invoice submissions, verify that all e-invoices submitted to the IRB portal are precise and fully compliant with legal requirements to prevent delays and avoid potential penalties.
Administration & Office Management
- Manage office administration operations, including premises maintenance, office equipment, inventory management, and procurement of stationery and office supplies.
- Act as the liaison with external stakeholders such as landlords and building managers to ensure premises upkeep and safety.
- Supervise the management of the company’s fixed assets, including acquisition, maintenance, disposal, and compliance with company policies.
- Oversee the disposal and storage of company documents, as well as mailing and dispatch operations.
Departmental Supervision & Operational Support
- Oversee daily operations and provide leadership to the team, ensuring efficient workflows, adherence to company policies, and achievement of departmental goals.
- Authorize financial transactions within the system, ensuring accuracy, compliance with internal controls, and timely processing to support smooth business operations.
Financial Compliance & Internal Controls
- Ensure compliance with all relevant financial, tax, and regulatory requirements.
- Oversee responses to internal and external audit findings and ensure the implementation of necessary improvements.
- Implement and oversee internal procedures to ensure consistent adherence to company policies and regulations.
QUALIFICATION / EXPERIENCE
- Bachelor’s Degree or professional qualification in Accounting, Finance and/or equivalent from a recognized university / college.
- At least five (5) years’ relevant experience in related accounting and finance and 5 years’ experience in a managerial capacity.
- Have experience in fund accounting operations, reporting and compliance.
- Possess strong background in financial performance review, treasury management and budgeting.
