Job description

We are hiring a technically skilled and organized Operations Coordinator to oversee, coordinate, and verify all maintenance-related projects across our BnB units. This role is responsible for scheduling both preventive and corrective maintenance works, managing timelines for major tasks such as aircond servicing, plumbing upgrades, and unit refurbishment, as well as ensuring contractor scopes and quotations align with the actual work done. You will act as the backbone between the maintenance team, vendors, and internal stakeholders to ensure smooth execution and delivery of projects.


Key Responsibilities:

Technical Scope Verification

Review and verify contractor job scopes, quotations, and workmanship before and after job completion.

Conduct site visits when needed to ensure quality and accuracy of work.

Provide technical input when deciding between repair vs replacement options.

Maintenance Scheduling & Execution

Plan and schedule routine maintenance (e.g. aircond servicing, plumbing checks) and major tasks (e.g. waterproofing, repainting, AC replacement).

Coordinate in-house technicians and assign tasks according to their capabilities and workload.

Forecast upcoming project needs and pre-schedule works to avoid clashes with guest stays.

Project Coordination & Timeline Management

Manage timelines for refurbishment or offboarding works, ensuring completion before unit turnover deadlines.

Track project progress, identify blockers, and escalate delays with proposed solutions.

Follow up with technicians and vendors to ensure timely task closure.

Communication & Reporting

Liaise with procurement to ensure timely arrival of materials and parts.

Update internal teams and owners on the progress of major maintenance works.

Prepare weekly status reports summarizing job scopes, pending tasks, technician performance, and contractor progress.

Documentation & Compliance

Maintain documentation for all technical works, including before/after photos, signed checklists, and invoice verification.

Ensure all work complies with safety standards, BnB SOPs, and regulatory requirements.

Requirements:

Diploma/Degree in Mechanical, Electrical, Building Services, Property Maintenance, or a related technical field.

Minimum 2–3 years experience in a maintenance/project coordination role, preferably in hospitality, facilities, or property management.

Solid understanding of air-conditioning systems, electrical, plumbing, and general building maintenance works.

Strong technical literacy — able to read scopes of work, understand BOQs, and validate quotations.

Proven ability to manage multiple projects and meet deadlines under pressure.

Proficient in using maintenance management systems, spreadsheets, and mobile coordination tools.

Comfortable working on-site when necessary to inspect progress or verify completion.

Strong interpersonal and coordination skills; able to communicate with both technical and non-technical stakeholders.
