Prepare and update sailing schedules for customers and internal planning.
Plan and control container movements to ensure timely shipments.
Prepare monthly Export Schedules and Sailing Schedules.
Receive SO/PO from sales or customers and coordinate with production to confirm stock readiness.
Advise shipment dates and follow up on payment status (for special customers).
Check and verify batch numbers for each outgoing shipment.
3. Booking & Export Documentation
Liaise with forwarding agents and carriers: request booking confirmation, quotations, and container arrangements.
Monitor container movement, handle container issues, and follow up on shipment status.
Prepare and verify export documents: Proforma Invoice, Commercial Invoice, Packing List, Sales Contract, K2, K3, BL, Form D/E, etc.
Apply E-Permit for each shipment and submit required documents to authorities (e.g., MAQIS).
Coordinate inspection arrangements with inspection authorities.
4. Customer Coordination
Liaise with customers on PO/shipment arrangements, inspection of goods, shipment status, documents, container issues, and complaints.
Handle inquiries, provide requested additional documents, and update customer SOPs as needed.
5. Internal Coordination
Work with internal teams to gather supporting documents: COA, Health Certificates, and other certificates.
Ensure production and shipment align with customer requirements.
Prepare and review loading SOPs.
6. Reporting & Filing
Prepare monthly export shipment listings reports.
Apply costing for all schemes on the MITI website (every 2 years).
Verify forwarding/shipping invoices for accuracy.
Maintain proper filing for all export and logistics-related documents.
Import Activity
Liaise with suppliers regarding delivery schedules and shipping documents.
Arrange container delivery and monitor goods received.
Handle complaints related to damaged or rejected soybean shipments.
Requirements
Candidate must possess at least a Diploma or Degree in Logistics/Transportation or equivalent.
Minimum 2 years of working experience in the related field is required.
Required language(s): English, Bahasa Malaysia.
Advanced internet communication skills.
Well versed with import & export handling and procedures.
Knowledge of customs rules and regulations is an added advantage.
Ability to work independently in a changing and multi-tasking environment with numerous deadlines.
Positive attitude and ability to perform under pressure.
