The Logistic and Warehousing Executive will be responsible for overseeing and executing key logistical and warehousing operations at HQ. This includes order processing, stock movement tracking, delivery coordination, staff claim processing, and overall warehouse support activities. This role is vital to ensure operational efficiency and smooth distribution of goods to our retail counters and internal teams.
Key Responsibilities:
Order Processing and Fulfillment:
Process and manage all stock orders from HQ warehouse to all business counters, including B2B retail counters, except Sephora.
Coordinate and ensure accurate picking, packing, and timely delivery of goods to respective destinations.
Liaise with internal stakeholders to ensure stock requests and allocations are fulfilled according to plan.
Delivery Coordination and Return Handling:
Organize and schedule delivery arrangements, including dispatch route and assigning delivery drivers.
Supervise packing processes to ensure safe and damage-free transit.
Manage the return process from business counters, ensuring proper documentation and restocking or rejection handling procedures are followed.
Maintain proper communication with stores and drivers to troubleshoot any delivery or return issues.
Collect, process, and validate product claims submitted by employees across departments.
Liaise with the Stock Allocator Manager for approval of claims.
Order and distribute claimed items, ensuring timely and accurate delivery to respective employees.
Maintain records of staff claims for audit and HR purposes.
Stock and Inventory Management:
Handle and document rejected items and returned goods, coordinating necessary action (e.g., restock, disposal).
Conduct product batch checking and support efforts to minimize inventory discrepancies.
Monitor stock movements within the HQ warehouse, ensuring stock accuracy and compliance with internal controls.
Address stock-related issues proactively to support continuous supply to stores and B2B partners.
Warehouse Operations and Housekeeping:
Ensure all stock movements (incoming and outgoing) are accurately recorded in the system and backed up with proper physical documentation.
Maintain detailed logs and inventory reports for internal use and audits.
Assist in implementing and optimizing warehouse record-keeping procedures and digital documentation systems.
Stock Movement Documentation:
Support HQ warehouse operations by conducting stock picking for store allocations, stock receiving, checking, labeling, and organizing.
Record and monitor incoming shipments for stocks and marketing/visual merchandising props.
Conduct monthly stock counts and participate in annual stock audits.
Maintain an organized, clean, and safe warehouse environment, complying with safety and hygiene standards.
Key Qualifications & Requirements:
Diploma or Bachelor’s Degree in Logistics, Supply Chain Management, Business Administration, or a related field.
1–2 years of relevant work experience in logistics, warehousing, or supply chain operations is preferred.
Strong attention to detail, organizational skills, and a proactive problem-solving mindset.
Ability to multitask, prioritize workloads, and manage deadlines in a fast-paced environment.
Good communication skills in English and Bahasa Malaysia.
Competent in Microsoft Office (especially Excel) and familiar with inventory or warehouse management software.
Familiarity with the Xilnex system will be an added advantage.
Physically fit and willing to participate in manual handling and warehouse activities.
