Lead Document Controller
Primary Duties
- Establish and coordinate schedules for creating databases to track all technical and non-technical documents, providing regular status updates. Receive technical drawings from discipline engineers, ensure revision accuracy, and issue to clients, vendors, and third parties.
- Set up the document control system for head office, site, and engineering support centers. Prepare project document control procedures and ensure data accuracy in Petrocept and Documentum.
- Distribute copies of transmittals within the project team and site as per the distribution matrix. Log reviewed documents from clients, assign approval codes in TDR, and transfer approvals internally.
- Interface with vendors to obtain descriptions for the Vendor Document Register, maintain files for purchase orders, and distribute vendor documents for review.
- Send vendor documents to clients for review upon request, communicate comments received from clients to vendors.
- Liaise with vendors to expedite timely submission of documents as per the VDR.
- Maintain records of shipping notifications and follow up with vendors for final documents of purchase orders.
- Prepare project dossiers reflecting all compiled documents upon contract completion.
- Respond to daily queries regarding document status from disciplines and projects.
- Verify if MRB and Operating Maintenance Manuals conform to quality standards in coordination with QA/QC teams. Maintain a list of quality test plans.
- Perform other related duties supporting the department as needed.
Minimum Requirements
- Bachelor’s degree or a 3-year technical diploma with a minimum of 15 years of related experience as a document controller on EPC projects.
