We are seeking a proactive and detail-oriented Junior Purchasing Executive to join our dynamic Purchasing team. This role plays a vital part in managing the end-to-end procurement process, nurturing vendor relationships and ensuring the timely, cost-effective acquisition of goods and services. The ideal candidate is analytical, resourceful and possesses strong negotiation and coordination skills to support the company’s supply chain efficiency.
Key Responsibilities
- Manage the full procurement cycle, including purchase requisitions, sourcing suppliers, obtaining quotations, negotiating pricing, supplier selection, issuing purchase orders and tracking deliveries.
- Establish and maintain strong, professional relationships with vendors to ensure reliable supply, resolve issues and assess performance.
- Collaborate with inventory and warehouse teams to monitor stock levels and plan timely procurement to prevent shortages or overstocking.
- Maintain accurate and up-to-date records of procurement activities, contracts and supplier information.
- Verify deliveries against purchase orders and ensure invoices reflect agreed pricing and quantities, promptly resolve any discrepancies.
- Identify cost-saving opportunities, including better pricing, bulk purchases and favorable payment terms.
- Oversee import shipments and coordinate with freight forwarders to ensure smooth logistics.
- Work closely with shipping and receiving teams to guarantee the timely and accurate receipt of goods.
- Ensure all procurement activities comply with internal policies, quality standards and regulatory requirements.
- Prepare and present procurement reports, cost analyses and supplier evaluations to the management.
- Collaborate with finance, operations, and production departments to align purchasing strategies with business objectives.
- Perform other duties and special assignments as delegated by management.
Job Requirements
- Diploma or Degree in Business Administration, Purchasing, Procurement Supply Chain Management, or a related field.
- At least 1–2 years of relevant experience in purchasing, procurement or supply chain management is preferred.
- Strong organizational, planning, and multitasking skills with the ability to prioritize effectively.
- Excellent communication and interpersonal skills, with confidence in engaging with suppliers and internal teams.
- Proficiency in Microsoft Office, especially Excel; experience with a procurement system is an added advantage.
- High level of accuracy, attention to detail and diligence in documentation.
- Strong problem-solving skills and a proactive approach to overcoming challenges and managing supplier issues.
