Job description

Job Scope / Responsibilities:

1. Recruitment & Onboarding

  • Assist in posting job advertisements across platforms (JobStreet, TeamsTailor/LinkedIn, university portals, etc.).
  • Screen resumes and coordinate interview schedules.
  • Conduct reference checks and assist in issuing offer letters.
  • Support onboarding activities (pre-employment documents, orientation scheduling, staff welcome kits).
2. HR & Office Administration
  • Maintain and update employee records (both digital and hardcopy) in accordance with internal policies and regulatory requirements.
  • Prepare standard HR letters including confirmation, transfer, promotion, resignation acceptance, and disciplinary notices.
  • Manage HR documentation for audits, internal controls, and legal compliance purposes.
  • Support implementation and enforcement of company HR policies in line with Malaysian labor laws and regulations.
  • Monitor and ensure general upkeep of the office environment, including coordination with building management for maintenance or facility issues.
  • Manage inventory and ordering of office supplies, pantry stock, and stationery to ensure smooth daily operations.
  • Liaise with vendors for office services (e.g. cleaning, repair, pest control, courier, etc.).

3. Payroll & Benefits Support

  • Preparing monthly leave report.
  • Preparing monthly payroll movement and support payroll partners.
  • Assist in administering statutory contributions (EPF, SOCSO, EIS, PCB).
  • Assist employees with claims, benefits, and HR-related inquiries.

4. Employee Engagement & Welfare

  • Support execution of engagement activities (team building, employee birthdays, CSR).
  • Coordinate feedback or surveys (e.g., new hire survey, exit interview data).
  • Assist in wellness or social responsibility programs.

5. Learning & Development

  • Maintain training attendance records and evaluation forms.
  • Help organize training sessions (venue booking, coordination with trainers).
  • Track training completion and assist in L&D reporting.

6. Compliance & HR Policies

  • Ensure HR practices comply with Employment Act 1955 and other relevant regulations.
  • Support audits and documentation for HR compliance.
  • Assist in drafting and updating HR policies or SOPs as required.

7. Employment Pass (EP) & Foreign Worker Management

  • Assist in compiling documents and submitting applications for Employment Passes (EP), Professional Visit Passes (PVP), and related permits via MYXpats, ESD, or MDEC (if applicable).
  • Liaise with relevant government authorities (e.g. Immigration Department, ESD, TalentCorp).
  • Monitor the status of visa/pass applications, renewals, and cancellations.
  • Maintain accurate records of expatriate documents (passports, permits, expiry dates, etc.).
  • Support expatriate onboarding and compliance matters.
  • Assist in applying approval letter from different government sectors (JTK, MyFutureJob etc)

Requirements:

  • Diploma/Degree in Human Resources, Business Administration, or related field.
  • 2 – 5 years of relevant experience in HR.
  • Familiar with Malaysian labor laws and statutory requirements.
  • Proficient in Microsoft Office. (especially PowerPoint)
  • Good communication and interpersonal skills.
  • Meticulous, well-organized, and able to maintain confidentiality with a high level of integrity
  • Proficient in both written and spoken English and Bahasa Malaysia; additional languages will be considered an advantage.
