Job Summary:

We are seeking a proactive and detail-oriented IT Procurement Administrator to join our team. In this role, you will be responsible to coordinate and manage the end-to-end procurement process of IT hardware, software, and services, ensuring timely delivery and compliance with budget and project requirements. You will collaborate closely with vendors, internal IT and finance teams, and ensure accurate documentation for audit and regulatory purposes. If you have a solid understanding of IT products, strong negotiation skills, and a knack for coordination, we’d love to hear from you.

Key Responsibilities:

  • Coordinate the procurement of IT hardware, software, and services according to company standards and project requirements.
  • Manage purchase orders, track shipments, and ensure timely delivery of IT products.
  • Liaise with vendors and suppliers to negotiate pricing, contracts, and service level agreements.
  • Work closely with IT and finance teams to forecast procurement needs and align purchases with budget constraints.
  • Maintain accurate records of purchases, pricing, warranties, and vendor performance.
  • Support IT asset management by updating inventory systems.
  • Monitor software licensing and renewal schedules to prevent service disruptions.
  • To manage internet applications for HQ/branches with Internal Service Provider (ISP).
  • To ensure proper documents of all purchases and submit complete documents (Invoice, DO/PL, GRN, PO & etc) on timely basis to Finance department.
  • Maintain proper documentation of procurements decision and vendor records to support audit and regulatory reviews.
  • Monitor software licensing and renewal schedules to prevent service disruptions.
  • Work with team members to complete duties as needed.

Qualifications:

  • Bachelor’s degree in Information Technology, Supply Chain, or related field (or equivalent experience).
  • Minimum of 2 years' experience in procurement, preferably in an IT or technology-driven environment.
  • Familiarity with procurement software and tools
  • Understanding of IT hardware, software, and licensing practices.
  • Strong in planning, negotiation and communication skills.
  • Detail-oriented with the ability to manage multiple tasks simultaneously.
