Job description

SCOPE OF ROLE:

This position provides the support in regards to advice and assistance to supervisors and staff. This may include information on training needs and opportunities, job description, performance reviews and policies of the company. To assist the Regional Human Resources Manager / Human Resources Assistant Manager in the operation and development of the HR functions, promoting and supporting best practice throughout the organization. The position also coordinates the staff recruitment process.

RESPONSIBILITIES:

Employee Services

  1. Advices and supports managers on all aspects of employee services including processing the appointments (contract) full time/ temp/ part time, resignations, probation and confirmation.
  2. Inputs information on the computerized HR system in relations to all changes in employee data such as addresses and job titles.
  3. Ensures that HR information that needs to be communicated to staff is communicated appropriately, whilst maintaining confidentiality where required.
  4. Coordinates all aspects of the Immigration process for expatriate staffs and their families and/or foreign students.

Recruitment and Selection

  1. Ensures that accurate job descriptions and employee specifications are in place.
  2. Provides advice and assistance to supervisors on staff recruitment.
  3. Prepare notices and advertisements for vacant staff positions.
  4. Schedules and organizes interviews.
  5. Screens job applicants to obtain information such as education and work experience.
  6. Conducts reference checks on possible candidates.
  7. Informs applicants of their acceptance or rejection for employment.

Attendance Administration

  1. Monitors daily attendance of staff and investigates and understands causes for staff absence.
  2. Provides advice and recommendations on disciplinary actions on chronic attendance.
  3. Maintains the HR System in relation to absence and leaves, and cross checks with individual attendance record cards.
  4. Provides reports to management in regards to staff leave records.

Administrative and Clerical

  1. Provides secretarial support to the Regional Human Resource Manager.
  2. Provides general photocopying and filing support to team members.
  3. Maintains staff personal files in a professional and confidential manner in line with audit requirements.
  4. Monitors requisition for sundry and stationery purchases.

Training and Development

  1. Provides advice and assistance when conducting staff performance appraisals.
  2. Assists Training Manager in organizing staff training sessions, workshops and activities.
  3. Assists in processing employee requests for outside training while complying with policies and procedures.
  4. Assists in maintaining liaison with external agents such as HRDF and training consultants to ensure appropriate documentation is maintained and submitted as required by law.

Special Projects

  1. Assists in coordinating special employee’s events such as Family Day and Annual Dinner & Dance, Quarterly Gathering etc.
  2. Coordinates and distributes awards and certificates as part of employee recognition program.
  3. Any other duties assigned by the Management from time to time.
