Job description

We’re hiring a Human Resource Executive to support full HR operations, from recruitment and payroll to compliance and employee relations. You’ll work closely with the HR Manager to ensure smooth day-to-day HR functions while supporting our ISO-integrated management system.

Responsibilities:

1.Talent Acquisition & Onboarding

- Manage end-to-end recruitment processes, including sourcing, screening, interviewing, offer preparation, and onboarding of new hires.

- Prepare relevant HR documents such as offer letters, appointment letters, and confirmation letters.

- Maintain proper documentation and records of recruitment and onboarding activities.

2. Payroll & Benefits Administration

- Handle full spectrum of monthly payroll processing, including salary computation, allowances, overtime, and statutory deductions (EPF, SOCSO, PCB, EIS).

- Monitor and update attendance and leave records via HRIS (Info-Tech system) and ensure timely updates.

- Maintain and update employee database records and personal files.

3. Training & Development

- Conduct and compile annual Training Needs Analysis (TNA) for all levels of staff.

- Coordinate internal and external training arrangements and track attendance.

- Track training records, monitor and report on HRDF registration, claims, and training utilization.

4. Employee Relations & Disciplinary Management

- Assist in handling employee grievances, disciplinary issues, and conduct domestic inquiries in compliance with the Employment Act and company policy.

- Provide staff counselling and support conflict resolution when necessary.

- Support initiatives that promote positive employee engagement and work culture.

5. HR Compliance & IMS (ISO 9001, ISO 14001, ISO 45001)

- Maintain HR related documentation and records in line with the Integrated Management System (IMS).

- Participate in internal and external audits and support implementation of corrective actions when required.

- Maintain compliance with Malaysian labour laws and statutory requirements.

- Liaise with relevant government bodies (e.g., Department of Labour, LHDN, KWSP, PERKESO, ESD).

- Manage visa and work permit applications, renewals, and cancellations for foreign professionals and expatriate staff.

- Liaise with immigration authorities and related agencies to ensure compliance with relevant laws and regulations.

7. General HR Operations & Support

- Liaise with statutory bodies such as KWSP, PERKESO, LHDN, ESD, and the Department of Labour.

- Prepare and issue HR-related letters, certificates, memos, and staff communications.

- Update and maintain HR databases and HRIS (Info-Tech) system for accuracy and completeness.

- Assist the HR Manager with any ad hoc tasks and HR projects as assigned.

Qualifications:

  • Bachelor’s Degree in Human Resource Management or equivalent.
  • Minimum 2 years of relevant HR experience, preferably in full spectrum HR roles.
  • Strong knowledge of Malaysian Labour Laws and HR practices.
  • Experience using HRIS system (preferably Info-Tech).
  • Familiarity with IMS (ISO 9001, 14001, 45001) compliance is an added advantage.
  • Detail-oriented, organized, and able to work independently with minimal supervision.
  • Strong interpersonal skills, high level of discretion and confidentiality.
