Human Resource Executive
Role Purpose:
This role is responsible for supporting the efficient operation of HR administration functions across the SEA region. Key duties include managing office operations, enhancing business efficiency, and providing employee support services. The role involves handling onboarding, administrative tasks, HR reporting, policy management, PowerBI oversight, insurance updates, invoice verification, payroll confirmation, employee benefits management, expatriate management (obtaining quota, work permit renewals and EP applications), and participating in HR projects. The role ensures that administrative tasks are completed efficiently, documentation is accurate, and day-to-day HR functions are supported effectively.
1) Fashion HRBP
1- Serve as the Human Resource Partner (HRBP) for SEA, providing comprehensive HR support across various functions.
2- Collaborate closely with Operations Managers to ensure the following:
- Employee Welfare: Promote a positive work environment by addressing employee concerns, ensuring fair treatment, and implementing initiatives to support overall well-being.
- Employee Engagement: Design and execute programs to boost morale, foster a strong team culture, and enhance employee satisfaction.
- Payroll Activities: Oversee payroll processes, ensuring timely and accurate salary disbursement, compliance with local regulations, and addressing payroll-related queries
- Commission Preparation: Support the calculation and verification of commissions in alignment with performance metrics and organizational policies.
- Training and Development: Identify training needs, coordinate learning programs, and track development plans to enhance skills and competencies across teams.
2) Consolidation for SEA
- You will be managing fashion & Inditex payroll consolidation for SEA
- Managing travel and claims verification for SEA
- Handle all IR cases
3) HR Reports
1- Regular Updates:
- Ensure all Malaysia (MY) HR reports are updated on a weekly, monthly, and yearly basis in alignment with organizational timelines.
- Supporting IR cases in Malaysia and updating the group report
2- Data Accuracy & Timelines SEA:
- Review and validate all data before submission to ensure accuracy and reliability.
- Cross-check data with regional and internal sources to identify and resolve discrepancies promptly.
3- Engagement in SEA:
- Actively liaise with HR partners across various regions to ensure consistency in report formatting and data presentation.
- Provide guidance to regional teams on updating and submitting reports within the required deadlines.
- Manage and arrange the engagement activities in SEA
4- Coordination with HR Leaders:
- Work closely with HR leaders in all regions to address any data inconsistencies or gaps in reporting.
- Ensure alignment with organizational goals by maintaining accurate and actionable data points.
4) Visa Processing & Compliance
- Apply for work visas for new employees and follow up on approvals until completion.
- Handle visa renewals and ensure timely submission of documents.
- Process visa cancellations for employees who resign and ensure compliance with legal requirements.
- Prepare and submit tax clearance applications for departing employees.
5) Ad-hoc Support
- Provide support to the Senior Manager or HR SEA on any ad-hoc reports or HR tasks required for business needs.
- Respond promptly to emerging needs and requests across various HR functions.
Job Requirements:
Education:
- Bachelor of Degree in Human Resources or related studies
Minimum Experience and Knowledge:
- 5 years and above of relevant HR generalist experiences preferably in the retail /service sector
Job-Specific/Technical Skills required to complete the tasks:
- Good in numbers and well versed in MS Excel
- Meticulous, organized, independent individual
- Good time management and good communication skills
- Ability to work in a fast pace environment
