Job Summary
We are looking for a proactive and detail-oriented HR Assistant to support day-to-day HR operations for our Kuala Lumpur and Johor Bahru offices. This role serves as a vital link between our Malaysia entities and the Singapore HQ, ensuring smooth execution of HR processes including onboarding, offboarding, payroll updates, employee engagement, and HR administrative duties.
Responsibilities
Assist in sourcing candidates, conducting initial phone screenings, and coordinating interview schedules with hiring managers.
Assist in coordinating monthly staff birthday celebrations, including planning event logistics, preparing office supplies, and communicating details to employees.
Maintain and update the company’s Google Calendar with employee-related events, milestones and celebrations.
Assist in conducting new employee orientation sessions, preparing necessary documentation and materials to ensure a smooth onboarding experience.
Provide support in handling employee offboarding activities, such as arranging exit interviews, ensuring return of company property, and assisting with necessary paperwork.
Responsible for supporting the HR department to update employee payroll records and perform necessary calculations, including statutory contributions such as EPF, SOCSO, EIS, and other relevant deductions, in coordination with the Finance team.
Maintain and update employee leave records in the HRMS system, while monitoring and eporting attendance, addressing any irregularities as needed.
Assist with various ad-hoc HR tasks and contribute to company activities, gaining exposure to diverse aspects of HR operations.
Job Requirements
Diploma or Degree in Human Resources Management, Business Administration, or related field.
Minimum 1–2 years of HR administrative experience preferred.
Fluent in written and spoken in both Malay and English. Proficiency in Mandarin will be an added advantage.
Basic knowledge of payroll processes and statutory contributions (EPF, SOCSO, EIS, etc.) is required.
Proficient in MS Office and Google Workspace.
Experience in Infotech HRMS software is advantageous.
Highly organized, meticulous, and capable of working independently with minimal supervision.
