Contexte et environnement

Assisting the HR and Admin Manager on Human Resources and administration for Marketing Services and One TotalEnergies organisation.

Activités

  • Conduct HR operations across full spectrum of HR functions and processes across the full employment life cycle
  • HR service deliveries and query management support (for employees) and administrative support
  • Ensure consistent and accurate upkeeping/ maintenance of employee data and HRIS records including e-leave
  • Coordinate, liaise, profile creation, system updates to ensure timely enrolment/or update for employees during on/or offboarding
  • Timely HR reporting for internal and external requirements
  • Timely handling of government statutory and related claims (HRDF, SOCSO), internal and external invoices
  • Manage intra service level agreements and rebilling coordination
  • Assist in organization and running of HR initiatives, events, transformation projects, engagement activities
  • Assist in reviewing/creating policies, processes and documents for internal and external audits, continuous performance
  • Manage employee monthly business and travelling expense claim
  • Training administration
  • Provide administrative support as and when necessary
  • Handle expatriate matters such as work permit application, tenancy administration, school and liaise with appointed agencies.
  • Other assigned ad hoc tasks
IT Administration Support

  • In charge of company wide information system, including all hardware, Laptops, Desktops, Projector, Printers & Scanners, TV, Video Conference, Company Desk Phone and maintenance of IT Equipment.
  • Providing timely support to solve IT issues/request including setting up accounts for new users and termination of accounts.
  • Apply Security guidelines defined by Company and ensure security awareness of all users.
  • Manage the decommissioning of obsolete equipment, ensuring adequate archiving and proper disposal.
  • Communicate with HQ’s IT team on all IS/IT issues like Domain Server issue.
  • Maintain an overview of all IT Equipment/Infrastructure/ Devices/ Application inventory including purchasing, configuration, condition and eventual replacement (E.g.: WAN/LAN Switches)
Profil du candidat

  • Minimum 3 years of experience in HR operations or a related field.
  • Degree in Human Resources, Psychology, Business Administration, or equivalent.
  • Attention to detail and ability to handle confidential information with discretion
  • Knowledge of HR policies and procedures, employment laws, and regulations.
  • A candidate with grit
  • Proficient in Microsoft Applications in Excel, Power Point and Word
