A leading recruitment company in Asia Pacific seeks an HR Shared Services Executive in Kuala Lumpur. The role requires managing HR processes such as onboarding, payroll, and performance management while liaising with contractors and clients to enhance service delivery. Ideal candidates possess a Bachelor's degree and strong communication and organizational skills.
The role of the HR Shared Services Executive is to be the main point of contact for both contractors and clients and to successfully provide the full spectrum of HR shared services support for the assigned set of employees/contractors within the defined Service Level Agreements and timelines.
Major Duties and Responsibilities
1. Onboarding
Manage the end-to-end pre joining and onboarding formalities so that the contractors have a smooth integration. This includes contract issuance, work pass applications, renewals, collection of documents, conducting of reference checks and so on.
2. HRIS
Manage the contractors’ information and ensure that regular updates are done in the system. Maintain accurate and timely data recording. Issue letters and support them where required
Provide end-to-end administrative support including (but not limited to) preparing and uploading documents to DocuSign for both Contract and Temporary Workers, extension, termination, contract resignations, reference checks, warnings, grievances, leave requests, claims requests, contractor bonuses, renewal or termination of Work Passes.
Notify Managers when their Contractors are due for renewal or termination, confirm their decision and inform Contractors accordingly.
3. Performance Management
Manage the performance appraisal process as required. Follow up and track completion of performance appraisals for clients that require this.
4. Payroll and Benefits Administration
Ensure timely and accurate payroll information is provided so that contractors receive their salary payments accordingly
Manage leave, insurance, allowances and other benefits administration
5. Disciplinary issues and grievance handling
6. Off boarding and management of the exit process
7. Ensure processes are administered accurately within defined SLAs
8. Work closely with the contractors and clients to improve work relationships, build morale, increase productivity and retention
9. Liaising with internal and external stakeholders
Connect with client regularly and provide HR advisory services as required
Maintain a close connect with consultants who place the candidates so as to ensure that there are no information gaps.
Liaise with the Payroll & Billing team to resolve contractor timesheet issues, claims and payment issues, Client billing issues, overpayments made etc. and inform them on advance listing and payments.
Profile Requirements
Possess Bachelor's Degree in Business, Human Resource Management, Psychology or related field. Fresh graduates welcomed.
Attention to Detail: Accuracy and precision in data entry and processing.
Communication Skills: Effective communication skills to handle employee inquiries and collaborate with other stakeholders.
Problem-Solving Skills: Ability to troubleshoot issues and find solutions to HR-related problems.
Organizational Skills: Strong organizational skills to manage multiple tasks and maintain accurate records.
