Job Description

The incumbent will be responsible for ensuring the accuracy and integrity of employee data, overseeing HR system administration, and managing payroll processes. He / she will need work closely with HRBPs and vendors to maintain the precision of staff data and ensure accurate payroll processing. As a valuable member of the Regional HR Service Delivery team, he/she will also contribute to various HR operations initiatives, supporting the seamless functioning of HR processes.

Key Responsibilities:

Payroll & Operations Processing:

  1. Process and administer the Malaysia payroll accurately and in a timely manner, ensuring compliance with payroll policies, procedures, and legal requirements.
  2. Respond to payroll-related inquiries from employees and resolve any issues or discrepancies.
  3. Assist in the preparation of payroll reports, tax filings, and other payroll-related documentation.
  4. Collaborate with finance and accounting teams to ensure accurate financial reporting and reconciliation of payroll data.
  5. Support payroll vendor management for payroll outside Malaysia.
  6. Participate in payroll-related projects and process improvements to enhance efficiency and effectiveness.

Staff Data Maintenance and HR Administration

  1. Maintain accurate and up-to-date HR data in Oracle, TIMES and other HR Operations-related software when required.
  2. Generate employment-related correspondence, for example, employment contracts, promotion letters, etc.
  3. Manage 90 days onboarding workflow, including probation review and benefits administration process to ensure excellent colleague experiences and compliance.
  4. Maintain proper P-filing.

Qualifications

  1. 2 years of experience in any discipline or fresh graduate, preferably from Human Resources or Accounting.
  2. Excellent communication skills in English and Malay (Knowledge in Chinese is an advantage) and interpersonal skills with the ability to work with all levels of the organization.
  3. Excellent attention to detail and accuracy.
  4. Strong problem-solving skills.
  5. Ability to work independently and collaboratively in a fast-paced, dynamic environment.
  6. HR Professional Certification is preferred.
