Job description

Location: Damansara Uptown, Petaling Jaya, Selangor, Malaysia.

This role is responsible for managing end-to-end payroll and HR operations for both Singapore and Malaysia.

Payroll and Statutory Compliance:

  • Calculate claims for allowance payments such as overtime and call-outs.
  • Collaborate with external payroll vendors to ensure accurate monthly payroll calculations for employees.
  • Ensure timely and correct submission of monthly statutory payments, including CPF, SHG, SDL, EPF, SOCSO, HRDF, EIS, and MTD payments in Singapore and Malaysia.
  • Submit payroll reports such as Hyperion Financial Management Report, General Ledger Report, and Headcount Report to relevant Finance and HR teams.
  • Upload bank files into the Company’s Global Payment System (GPS) for monthly disbursements to employees.
  • Submit annual claims for Maternity Leave, Paternity Leave, Child Care Leave, etc., to the Singapore government for reimbursements.
  • Submit employees’ annual income for yearly tax reporting.

Onboarding New Hires:

  • Create Global IDs, initiate confirmation appraisal reviews, announce new hires, and create GPS Account Payees.
  • Allocate benefits and leave entitlements in BIPO-HRMS to new hires upon joining and to existing employees annually.
  • Calculate unconsumed Annual Leave each financial year for expense accrual by the Accounting team.

Offboarding Existing Employees:

  • Calculate and process full and final pay settlements, trigger Exit Clearance, tax clearance, and update GPS Payee Accounts.
  • Update employees and organizational changes in the Company’s HRIS System (BIPO-HRMS) and SuccessFactor.
  • Maintain electronic records of employees in the Contract Lifecycle Management (CLM) System.
  • Submit and/or renew work passes and long-term visit passes for employees’ dependents.
  • Issue work certification letters, termination letters, promotion letters, transfer letters, confirmation letters, etc.
  • Submit labor reports and manpower surveys periodically to the government.

Administrative Tasks:

  • Process invoices for monthly work pass levies, update the list of insured employees monthly, place orders for Get Well Hampers and Wreaths, and handle payments for payroll processing.
  • Respond to annual audit checks by external and/or internal auditors as necessary.
  • Review and complete JSOX audit surveys semi-annually.
  • Ensure compliance with statutory regulations on the payment of salaries, allowances, and bonuses.
  • Minimum Diploma in a relevant discipline.
  • 5+ yrs of relevant experience (Payroll and HR Operations).
  • Good knowledge of employment legislation in Malaysia and Singapore
  • Good knowledge of statutory legislation in Malaysia and Singapore
  • Experience running Malaysia payroll
  • Good interpersonal and communication skills
  • Detail oriented, independent and can follow through on tasks.
  • Ability to multi-task at the same time
