A human resource consulting firm in Kulai, Malaysia is looking for a Human Resources Executive to manage recruitment, onboarding, payroll, and compliance with Malaysian labour laws. The ideal candidate should have a relevant degree and strong knowledge of HR practices. Responsibilities include maintaining employee records, handling payroll, and ensuring compliance with statutory requirements. This position offers a 6-month probation period with opportunities for permanent placement.
Status : 6 months’ probation period under PERSOL. Will be converted under permanent if ONLY fit for the role.
Location : Jalan Ekoperniagaan, Persiaran SAC Senai.

Responsibilities
1. Recruitment & Onboarding
Manage end-to-end recruitment: advertising, screening, interviews, and offer letters
Handle onboarding process: employment contracts, orientation, personal file creation
Maintain and update job descriptions and staffing records
2. HR Administration & Payroll Coordination
Maintain and update employee records, attendance, leave tracking, and claims
Administer staff benefits including insurance, medical claims, and training
Coordinate with accounts on monthly payroll input (e.g. OT, leave, claims, deductions)
3. Government Registrations & Statutory Reporting
Register new employees with EPF, SOCSO, EIS, and ensure timely monthly contributions
Submit e-CP22 (new hire) and CP22A (resignation) notifications to LHDN within the required timeframes
Ensure accurate PCB tax deductions and yearly Form E & EA preparation
Monitor and comply with all statutory updates and deadlines
4. Contract Stamping & Compliance
Responsible for stamping all signed employment contracts via LHDN STAMPS system within 30 days as per Stamp Act 1949
Ensure HR practices and policies comply with Employment Act 1955 and other relevant laws
Support management in disciplinary actions, staff grievances, and enforcement of company rules
5. Performance Management & Exit Handling
Manage probation reviews, confirmation letters, and performance documentation
Handle resignations, termination letters, and conduct exit interviews
Submit CP22A forms and final payroll documentation for exiting staff
6. HR System & Reporting
Use or manage HR tools (e.g. e-attendance, e-leave, claims systems)
Prepare HR reports and summaries for management as required
Organize staff engagement activities and internal communications
Qualifications
Diploma or Degree in HR Management, Business Administration, or related field
Preferably in SME or project-based industries (e.g. design, construction)
Strong knowledge of Malaysian labour laws and statutory requirements
Familiar with HR statutory processes including e-CP22, CP22A, EPF, SOCSO, EIS, PCB
Experienced in contract stamping using LHDN STAMPS portal
Proficient in Microsoft Office and preferably HR systems
Able to handle confidential matters with professionalism
Good written and spoken English; Malay and Chinese are a plus
Independent, detail-oriented, and able to multitask in a fast-paced environment
