Job description

Role purpose

The HR Coordinator is a key member of the global HR Shared Services team, responsible for delivering consistent, high-quality HR operational support. This role will serve as the subject matter expert for the Malaysia employment market and primarily support queries from SEA and the APAC region, while also assisting other regions globally as needed.

The role focuses on providing excellent service delivery through standardized processes, supporting the organization's transition to increased self-service adoption and digital transformation initiatives.

The HR Shared Services team manages global and regional processes such as salary reviews, promotions, performance management cycles, and provides data and insights related to our people, in collaboration with specialist teams.

The ideal candidate will be meticulous, detail-oriented, and demonstrate sound judgment in prioritizing tasks. They will ensure follow-through on commitments, strive for operational excellence, and seek continuous improvements in HR processes and policies. Additionally, they should be passionate about AI and technology, exploring how these can enhance HR operational efficiency.

Role tasks and responsibilities

Employee Lifecycle Management

  • Follow standardized global processes for key HR activities within SLAs and quality standards, including onboarding, employee files management, background screening, benefits administration, leave management, global mobility, employee exits, and basic employee relations support.

Data and Technology

  • Maintain accurate employee data in D365HR and other systems, generate reports, and process HR-related invoices and purchase orders.

Process improvement

  • Support SOP creation and updates, identify process enhancement opportunities including automation with AI, and participate in testing and implementing new HR system functionalities.

Compliance & Risk Management

  • Ensure records are compliant with data protection laws, follow protocols for document retention, execute processes in accordance with local labor laws, and support compliance reporting and audits.

Support to HR Centres of Excellence

  • Assist with talent reviews, learning needs analysis, succession planning, and global reward activities. Support the development of learning content and coordinate reward cycle activities.

Required skills and experience
