Job description

The primary responsibility of this role is to ensure that the company and human resources policies and procedures align with relevant legal and regulatory requirements, industry best practices, and our organizational values. The HR Compliance Specialist will play a crucial role in formulating policies and standard operating procedures (SOPs), managing employee grievances, and mitigating HR-related risks. Strong knowledge of the Employment Act and excellent English writing skills are essential for this position.

Job Description :

Policy and SOP Development:

Develop and maintain comprehensive HR policies and procedures that comply with applicable laws and regulations, industry standards, and internal requirements.

Develop and constantly review applicable company and HR policies and SOPs related to recruitment, employee onboarding, performance management, disciplinary actions, and employee separations.

Ensure policies and procedures are communicated effectively to employees and managers.

Employee Grievance Management:

Handle employee grievances in a fair, timely, and confidential manner.

Conduct thorough investigations of employee complaints, ensuring compliance with legal and internal guidelines.

Mediate conflicts and disputes, facilitating resolutions and maintaining positive employee relations.

Provide guidance and support to managers and employees on conflict resolution and grievance procedures.

Identify potential HR-related risks and develop strategies to mitigate them.

Stay updated on changes in employment laws and regulations and assess their impact on HR practices.

Conduct periodic audits and reviews to assess compliance with HR policies, procedures, and legal requirements.

Provide recommendations for improving internal HR procedures and minimizing risk exposure.

Compliance Reporting and Documentation:

Prepare and submit required reports and documentation related to HR compliance units.

Maintain accurate and up-to-date records of policies, procedures, investigations, and related documentation.

Collaborate with internal stakeholders, such as legal and finance departments, to ensure compliance with regulatory requirements.

Training and Education:

Conduct briefing sessions or workshops for all employees and managers on HR policies, procedures, and compliance matters.

Provide guidance and support internally for all HR functional teams and management on HR compliance-related topics.

Stay informed about industry trends, best practices, and emerging regulations in HR compliance.

Job Requirement :

Bachelor's degree in Human Resources, Business Administration, Psychology or a related field.

Proven experience in HR related policy and compliance, conduct policy training, audit process and employee relations.

Strong understanding of employment laws, regulations, and industry best practices.

Excellent written and verbal communication skills in English.

Exceptional attention to detail and accuracy.

Demonstrates strong logical and rational thinking skills with ability to analyze complex information and provide practical recommendations.

Strong interpersonal skills with the ability to maintain effective relationship with both employee and managers.

Ability to maintain confidentiality and handle sensitive information with professionalism and discretion.

Proficient in using HRMS and other HR-related software tools.

Relevant certifications (e.g., HR Compliance Professional, Certified Compliance and Ethics Professional) are a plus.
