A leading company in the coffee sector is seeking a Human Resources and Administration Executive to manage HR functions and office administration. This role requires managing employee records, payroll data, and enhancing staff engagement. Ideal candidates will possess a degree in HR or Business Administration and have 2-3 years of HR experience. Competitive salary, benefits, and a friendly working environment are offered.
Assist in the full spectrum of HR functions, including recruitment, onboarding, training, and coordinating performance appraisals.
Maintain and update employee records (physical and digital), HRIS, and personnel files.
Handle payroll-related data (e.g., OT, leave, claims), coordinate with accounts/payroll vendors, and ensure statutory compliance (EPF, SOCSO, EIS, PCB).
Manage staff attendance, leave applications, and medical claims.
Assist in disciplinary procedures, issuance of warning letters, and handling staff grievances in line with Malaysian labor laws.
Ensure HR policies and practices are up to date and comply with the Employment Act 1955 and other relevant legislation.
Coordinate employee engagement initiatives and staff welfare activities.
Prepare HR-related letters (e.g., employment, confirmation, resignation, increment, termination).
Administration
Handle day-to-day office administration, including office supplies, equipment maintenance, company vehicle records (if applicable), and premises upkeep.
Coordinate with external service providers (e.g., cleaners, vendors, contractors).
Maintain proper filing systems for administrative and company documents.
Assist in organizing company meetings, travel arrangements, and events.
Support the renewal and management of business licenses, insurance, tenancy agreements, and company registrations.
Liaise with government departments, statutory bodies, and external auditors as required.
General Support
Prepare reports and documentation as required by management.
Perform any other ad hoc HR and administrative duties assigned by management.
Job requirements:
Diploma or Degree in Human Resources, Business Administration, or a related field.
Minimum 2–3 years of relevant experience in HR and administrative roles.
Familiarity with Malaysian labor laws and HR best practices.
Proficient in Microsoft Office; experience with HR software is an added advantage.
Good communication and interpersonal skills.
Organized, detail-oriented, and able to handle confidential information with discretion.
